Position Function:

Provides administrative support to the Assistant AD for HRM in managing the day-to-day human resource operations for the Athletics Department. Responsible for handling multiple aspects of HRM functions, ensuring effective and efficient operations in alignment with the institutional and departmental strategic objectives.

Essential Duties and Responsibilities:

1. Manage the recruitment and hiring process.
2. Prepare Position Approval Request Forms (PARFs), offer letters, recruiting reports, Employment Action Forms (EAFs), I-9s, and other employment forms.
3. Correspond in writing and verbally with current and potential staff regarding the onboarding, retention, and offboarding processes.
4. Coordinate and manage the onboarding and offboarding process and ensure the process is tracked.
5. Creates and/or edits standard job descriptions and advertisements for vacant positions.
6. Lead Athletics Department Staff Council (ADSC) and facilitate and plan professional development opportunities, staff events and experience.
7. Manage the HRM operation in Teamworks.
8. Input, monitor, and maintain electronic personnel files and department databases.
9. Maintain data and develop reports, documents, and presentations requested by Executive staff.
10. Oversee affiliate staff access.
11. Responsible for the management and tracking of the department leave process.
12. Analyze problems and concerns and provide recommended solutions on routine HRM matters.
13. Responsible for updates in the department SWAY (newsletter).
14. Provide guidance to staff regarding HRM policies and procedures.
15. Assist in developing specific department policies and procedures.
16. Ensure compliance with university policies, procedures, and practices and federal and state regulations.
17. Assist in managing special projects as directed by Executive staff.
18. Support continuous improvement efforts in HRM operations.
19. Perform other duties as assigned.

Minimum Qualifications:

High School Diploma and 4 years experience directly related to the duties and responsibilities specified.

Preferred Qualifications:

1. Bachelor’s degree in human resources, Business, or related field.
2. Previous experience working in a university environment.
3. Experience with Banner system.
4. Knowledge of faculty and/or staff hiring procedures.

Knowledge, Skills, and Abilities:

1. Skill in organizing resources and establishing priorities.
2. Ability to foster a cooperative work environment.
3. Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
4. Knowledge of customer service principles, techniques, systems, and standards.
5. Knowledge of faculty and/or staff hiring procedures.
6. Knowledge and understanding of business management principles and practices.
7. Skill in the use of personal computers and related software applications. Working Conditions and Physical Effort 1. Work is normally performed in a typical interior/office environment.
