Services, Inc. (RPM-AVS) RPM AV Services, Inc. is seeking a proactive, detail-oriented Administrative Assistant to support our local operations and contribute to the success of our cross-functional administrative team. This is a full-time position with immediate availability, offering the opportunity to work in a fast-paced, technology-driven environment alongside industry professionals.
Key Responsibilities:
General Administrative Support Assist the Estimation Department with quote setup and processing. Maintain organized digital filing systems; minimal physical filing required. Monitor daily technician reports, distribute missing report notifications, and track completion status. Support onboarding new local hires, including app access and account setup. Handle local deliveries and shipments, coordinating with technicians as needed. Perform light office tidying and organizational tasks to maintain a clean workspace. Inventory and Procurement Audit and report local inventory levels. Make recommendations for reorders and restocking based on project needs. Receive deliveries and properly label items for project assignment. Send hardware pull sheets to HQ and coordinate prompt product shipments with other departments. Operations & Cross-Functional Team Support Provide backup support for other admins during PTO or high-volume periods.
Cross-train in the following functions:
Payroll processing Billing, accounts receivable/payable, and collections Expense report processing and reimbursement Meeting scheduling and note-taking Travel booking and coordination Service call scheduling Fleet and Facilities Coordinate local vehicle maintenance and scheduling in conjunction with HQ and the local General Manager. Process Improvement Proactively identify and recommend ways to streamline administrative workflows and improve efficiency within the team.
Ideal Candidate Qualifications:
Previous administrative experience (1-3 years preferred) Strong organizational and communication skills Proficient in Microsoft Office and Google Workspace Ability to manage multiple tasks and deadlines effectively Professional demeanor and strong attention to detail Comfortable working independently and as part of a team Ability to pass a background check and a drug screening
Desired Qualifications:
