What You’ll Be Doing The Administrative Coordinator schedules procedures and coordinates flow between physicians, patients, nurses and technicians. Assists in location and retrieval of documents and other patient data as requested. Greets patients and activates registrations. Prepares documentation for meetings and conferences. Performs a wide range of secretarial and clerical duties and coordinates numerous office procedures in support of the Sleep Lab services. Perform patient intakes for clinical paperwork. Must be able to perform insurance authorizations for patients for sleep studies as needed. Will have to be able to work with insurance denials. Must have previous sleep center experience. Will need to track sleep center patients orders and work with DME’s to set up and provide equipment to patients. Will need to track all sleep center patients pending studies and follow up testing as required. Prepare and correct sleep study reports after physician interpretation. Bill for sleep center visits via E Clinical works and track denials as needed. Must have electronic medical record experience. Will be expected to scan and maintain patient records via an E-chart. Coordinates and performs all administrative activities to facilitate the management and efficient operation of the department. Prepares correspondence such as letters, memoranda, policies and reports from notes, drafts or dictation in an accurate, neat and timely manner as assigned. Compiles accurate statistical or Sleep Lab activity date for the Director as assigned. Prepares in final report form when reviewed and approved. Accurately records and transcribes minutes of Sleep Lab or other related meetings. Maintains and/or distributes minutes within established time frames. Files all correspondence, policies, reports, forms, etc. in appropriate location, in an orderly fashion and within specified time frame. Schedules clients for Sleep Lab services. Maintains schedule and notifies staff of any changes. Performs quality registration. Processes insurance verification, including pre-certification authorization for Sleep Studies. Assists the Director with special projects as needed. Manages the office environment. Screens and refers all incoming telephone calls and Sleep Lab visitors to ensure that their requests or concerns are addressed by appropriate staff. Maintains accurate telephone or visitor messages. Monitors on a regular basis Sleep Lab office supplies to ensure adequacy of inventory and equipment to ensure proper working order. Schedules meetings as requested and maintains appointment calendars. Demonstrates willingness to provide training to other office staff. What We’re Looking For Bachelor’s degree referred. Minimum two (2) years’ experience preferred. Proficiency with Microsoft Office Suite required.
