JOB SUMMARY
This position is classified as Clerk Typist 2 and will be responsible for reviewing, recording, processing, and communicating agency related data and information through a variety of functions. Time will be spent completing moderately complex clerical duties including typing, answering the telephone, scanning documents, posting and sorting mail, and filing. Work will be completed with considerable independence and will assist in the completion of administrative, programmatic, and fiscal duties.
DISTINGUISHING FEATURES OF THE CLASS
This is responsible and varied clerical work requiring a qualified typist. It calls for the exercise of judgment in the application of prescribed procedures and methods to routine matters. Depending upon the nature of the assignment, the work may be done under close or general supervision and is checked by an immediate supervisor. Positions in this class frequently involve public contact.
JOB FUNCTIONS
- Type correspondence, reports, agendas, and other official documents with accuracy and attention to detail for the Mental Health Department.
- Maintain Blended Case Management files according to established procedures. Opening of new files, closing files, scanning and uploading of documents into CPR-Web and filing in remaining paper files. Purge old files according to policy.
- Maintain current consumer list and services.
- Ensure all necessary forms, including encounter forms, are signed by the consumer and are included in the consumer’s file. Maintain spreadsheet of signed encounter forms.
- Participate in staff training, development sessions and in-service training. Maintain list of all training attended by MH Personnel and notify MH Personnel of mandatory training that needs completion.
- Prepare agendas, send meeting reminders, attend meetings, take notes, type minutes for Interagency Meetings, Staff Meeting, Sr. Staff Meeting, BSU and CCBH meetings, other meetings as assigned. Maintain digital record of meeting documentation.
- Maintain and update Mental Health Bulletin, CCBH Provider Alert and MH Policy & Procedure Binders and electronic file.
- Prepare and send correspondence/fax for MH Staff as requested, including certified mail and request for information.
- Prepare BCM and Legal Delegate On-Call list, track weekly on call logs and ensure they are completed.
- Support case management as needed including contacting consumers in the event a case manager is absent to cancel scheduled appointments.
- Reception duties as assigned, answering the phone, transferring calls, assisting walk-in consumer.
- Maintain MH office supply inventory, prepare and submit supply orders.
- Make all hotel and training reservations for the MH Department Staff.
- Other related duties as assigned.

Must have the ability to record, convey, and present information, explain procedures, and follow instructions; Must be able to sit for long periods of time with frequent periods of standing, walking, and occasional twisting, reaching, pulling, and pushing required for obtaining files, doing inspections or other job duties; Dexterity requirements range from simple to complex movements of fingers/hands, legs/feet, or torso to carry out job duties; Sedentary work with occasional lifting, 15-20 pounds; Must demonstrate emotional stability; Ability to cope with physical and mental stress of the position; Must be able to pay close attention to detail and concentrate on work.
REQUIRED
KNOWLEDGE, SKILLS and
ABILITIES
Must be able to follow written and oral instructions. Will need to work with limited guidance. Must be flexible and have good time management skills. Excellent typing skills with a good grasp of the English language should be exhibited. Strict adherence to confidentiality laws is required. Will need to address the public in a professional manner. A working knowledge of the operation of office equipment is needed. Must possess current Child Line, FBI Criminal History and Pennsylvania State Criminal History Clearances. TRAINING
Six months as a Clerk Typist 1 and educational development to the level of eighth grade; or completion of a high school business curriculum which included at least one typing course; or any combination of equivalent experience and training.
