Union Position SALARY:

SEIU Pay Grade 10 $14.52/hour

HOURS:

8:00 a.m. to 4:00 p.m. Regular Full Time Monday-Friday (40 hours per week) On-Call hours: Mandated up to 14 consecutive 24hr. periods

OVERALL OBJECTIVE OF JOB

To perform all daily operations of the Magisterial District Court as required by the Magisterial District Judge (MDJ) to include accepting case filings, pleas, and payment, entering case disposition as ordered by the MDJ, answering phone calls, assisting the public with procedural questions, become familiar with the timeline of events within each specific docket type in the office. Must utilize the extensive training resources made available upon hire date.

ESSENTIAL FUNCTIONS OF THE JOB

1. Receive, docket, and process from filing agencies, as well as private citizens. 2. Confidentiality must be maintained in all cases; much of the participant information is not to be made public. 3. Collect and receipt all monies on a daily basis as it is received, e.g., payments for fines, costs, restitution, collateral, and/or bail payments. After hour payments must be receipted and deposited by on-call staff. 4. Prepare deposits daily for monies receipted; take daily deposit to the local bank. Maintain meticulous records of all receipts and deposits. 5. Disburse monies received to all proper recipients on a daily/weekly/monthly basis. 6. Schedule all events, i.e. summary trials, preliminary arraignments, preliminary hearings, payment determination hearings, etc. related to each case. Schedule non-case related events such as marriage ceremonies and meetings for the MDJ. An important function of this job is to keep up with all rescheduling that is necessary on a daily basis with many phone calls to coordinate events. 7. Answer all phone calls. Must be able to field all public questions without giving legal advice. No legal advice is permitted to be given by office staff. Must learn how to determine what is appropriate procedural advice. 8. Open and close the office on a daily basis including after hours when on-call. 9. Assist all individuals who come into the office. 10. Track and maintain office supply inventory.

OTHER DUTIES

1. Create and maintain physical files for cases docketed. 2. On-call is required for a one to two week period on a rotational basis with the other Magisterial District Offices to include weekends, overnights, and holidays. 3. Duties include attending Central Court, located at the Greene County Courthouse, on a monthly rotating basis. You are responsible for your own transportation to and from the courthouse and the files of all Magisterial District offices.

SUPERVISION RECEIVED

– Receives regular instruction and supervision from the Magisterial District Judge in regard to all daily work duties. The MDJ will monitor accuracy of work and ability to utilize available resources in order to process cases in an accurate, prompt, and efficient manner. – The Trial Court and Deputy Court Administrator will schedule all trainings, which you are required to attend.

WORKSPACE CONDITIONS

1. Work indoors with adequate work space, overhead lighting, climate controlled temperatures, office ventilation, including a separate storage room located in same building. 2. Work in shared space with staff members. 3. On-site parking. 4. Security provided as needed.

PHYSICAL AND MENTAL REQUIREMENTS

1. Must be able to de-escalate situations if irate or belligerent individuals come into the office. 2. Must be able to multi-task and have the ability to work in a fast-paced atmosphere while maintaining accurate files. 3. Must be able to lift up to 50 lbs. 4. Must be able to learn, convey, and present information, including procedural instruction daily. 5. Required to read, learn, and implement all office procedures. 6. Must demonstrate the ability to navigate the Microsoft Excel based Magisterial District Court Judicial System software.

QUALIFICATIONS

High School Diploma – New hire will be required to attend MDJs training Two to four years’ experience in the legal field, office management, government administration or related field. Any combination will be considered. Basic user knowledge of Excel and Word.

1. Must be able to speak and understand the English language in an understandable manner in order to carry out essential job duties. 2. Must possess good communication and interpersonal skills. 3. Must be able to take the initiative to learn all aspects of the job and keep up with all updates and changes. 4. Must acknowledge, register, and attend all scheduled training classes at AOPC headquarters in Mechanicsburg, PA. 5. Must be able to use all resources available. Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed. Must possess ability to maintain records and assemble data for the District Justice.
