Job Summary:
We are seeking a dependable and detail-oriented Office Assistant to join our workspace solutions company. This entry-level position is ideal for someone who enjoys the backend process of sales, with a strong focus on quote ordering, order processing, and coordinating deliveries. If you thrive in a fast-paced environment and love keeping things organized behind the scenes, this role is for you. You’ll work closely with sales representatives to ensure that quotes are turned into accurate orders, materials are tracked, and deliveries are completed on time. This role is onsite in East Hartford, CT, five days a week. After a successful training period and demonstrated reliability, there may be flexibility to transition into a hybrid schedule.
Key Responsibilities:
Support sales reps with daily administrative needs related to customer orders Convert quotes into accurate customer orders and coordinate delivery logistics Track materials and ensure they arrive accurately and on time at job sites Communicate with vendors to confirm order details, timelines, and delivery updates Process and organize invoices for workspace furniture and solutions Maintain organized records and documentation Manage multiple tasks and shifting priorities efficiently Help streamline office operations and ensure smooth follow-through
Qualifications:
High school diploma or equivalent Strong attention to detail and organizational skills Excellent written and verbal communication skills Comfortable using Microsoft Office (especially Excel and Outlook) Willingness to learn and take initiative Previous office, vendor coordination, or customer service experience is a plus
