Scope :

The Financial Secretary will be responsible for providing high level secretarial support to the building Administrator(s) as well as organizing, validating, and maintaining records and data as defined by the Administrator(s).

Responsibilities :

Collect, verify, record, and/or distribute all monies for school clubs, activities, programs, and fundraiser, as required.
Maintain accounting and reconciliation for all school accounts in appropriate software.
Maintain FC&S petty cash database and process reimbursement invoice to replenish petty cash, as required.
Supply/maintain all fundraising activity forms, as required.
Maintain spreadsheet for school BOE accounts in specific software.
Record and collect student obligations in PowerSchool.
Record and confirm proper execution of field trip requests among certified staff (master calendar clearance, bus insurance confirmation, permission slips, and any related financials)
Process, maintain PO requisitions and invoices for office, school counseling and athletics in district software, as required.
Enter, develop and distribute varied reports using MS Office, Google, and accounting software, including, but not limited to budget/accounting reports, charts and graphs.
Create and maintain department files in accordance with established guidelines and retention requirements.
Coordinate, assign, distribute, and record parking spaces and bus passes for students and staff
Provide back-up for head secretary.
Maintain positive interface with public.
Perform other projects, duties, and responsibilities as assigned by the school principal

Scholarship:

Maintain all scholarship funds in database and checkbook.
Assist Scholarship Chairperson with database, letters, notifications to staff, and set-up for scholarship evening event.
Process check requests for scholarship evening.
Dispense yearly scholarships upon verification from Scholarship Chairperson.

Skill Requirements :

Ability to identify, prioritize and complete multiple projects on-time and within required deadlines.
Ability to communicate effectively to all organizational levels.
Ability to compose professional correspondence including, but not limited to, responding to questions and requests for information
Demonstrated proficiency using Microsoft Office Suite, Google Office Suite, ALIO, Access and QuickBooks/Quicken Software, and willingness to learn and increase proficiency in necessary software systems, in accordance with demands
Proficiency with email software packages including creating contacts, groups, and calendar entries
Ability to function effectively with minimal supervision (self-directed, organized, and detail-oriented).
Excellent communication and inter-personal skills. Ability to work well with colleagues.

Qualification Requirements :

High School Diploma required. Associate Degree preferred.
2-4 years solid business office experience preferred.
Demonstrated success working in a time-sensitive environment requiring minimal direction.

Compensation :

The salary for this position is determined in accordance with the provisions of the current Stratford Association of Educational Secretaries contract.
