With an aging society, obesity and diabetes on the rise, and an uptick in surgical procedures, the number of patients with non-healing wounds that would benefit from expert care is dramatically increasing. As a result, the company is working to provide our differentiated, quality outcomes to as many patients that would benefit through our out-patient clinic partnerships. The Administrative Assistant is responsible for overseeing all tasks related to the corporate office welcome center/reception area and providing administrative support to two field-based senior executives, the executive assistant team, and the meetings & events team. All Healogics employees must perform their job responsibilities according to all Healogics policies, Hospital policies, as well as to accrediting organizations, federal and state regulation, and to the Centers for Medicare and Medicaid Services (CMS) guidelines, as applicable.

Essential Functions/Responsibilities:

Answers and directs a high volume of phone calls promptly and courteously by responding to questions or transferring calls to the appropriate department/staff member Ensures all guests at the corporate office receive superior customer service as they are greeted and signed-in upon arrival Provides assistance to all guests and employees by responding to a variety of requests and questions, including timely management of e-mail Maintains a welcoming and courteous demeanor at all times; must be adept at remaining calm and projecting a professional demeanor at all times, including difficult or stressful situations Receives daily mail and packages and sorts appropriately; ensures daily outgoing express packages are picked up by vendor each day Works with vendors that provide services to corporate office; serves as primary contact for central office supplies and beverage/break vendor Provides administrative support to two field-based senior executives Provides administrative support as needed to the executive assistant team on a variety of assignments and special projects; must be able to work collaboratively. Provides administrative support to the meetings & events team with various projects, to include processing and tracking exhibitor payments and planning small-scale meetings/events under the guidance of the M&E team Proactively coordinates backup coverage for the corporate office welcome center for any extended time away to ensure consistent coverage Performs other duties as required

Required Education, Experience and Credentials:

College degree or some college background with 2-3 years of related experience and/or training in a corporate environment.

Required Knowledge, Skills and Abilities:

Must develop quick rapport with different personality types and staff roles throughout the organization Ability to efficiently multi-task and manage rapid change with interruptions while consistently seeing the big picture and anticipating customer needs Strong customer service and interpersonal skills Must be proficient at research, typing, photocopying, scanning, ordering supplies and maintaining accurate inventory records, data entry, creation of and sorting of spreadsheets, and merging files to create name badges or other documents Maintains confidentiality with all data and carefully handle sensitive information Above average attention to detail Manages difficult or emotional customer or employee situations; makes customer satisfaction a top priority; responds to requests for service and assistance in a timely fashion Proficient with Microsoft Outlook, Word, PowerPoint, and Excel, as well as web-based database programs and the Internet Excellent verbal and written communication This range is an estimate, based on potential employee qualifications: education, experience, geography as well as operational needs and other considerations permitted by law.
