JOB SUMMARY

The Office Assistant & Resource Development Coordinator is an exciting opportunity to be a forward-facing team member, managing BGCMA’s office and overall office services. Key responsibilities include being the primary front office receptionist for our Support Center and assisting with office-related requests from the Executive Assistant/Office Manager. S/he is also a vital member of the Resource Development team and is passionate about learning and supporting all aspects of the fundraising process, including administrative support for the development team, donor stewardship, communications and scheduling, and special event support. The individual will assist with special projects and provide critical, daily support to the organization.

ESSENTIAL JOB FUNCTIONS AND ACCOUNTABILITIES

General Support Center & Front Office Support Opens the office each day and consistently conveys a friendly, helpful, and professional manners. Handles phone tree, answering and directing all general inquiries. Manage inventories, materials, and supplies within the GSC Office. Receives all deliveries/packages from courier (UPS, FedEx, Amazon, etc.) and coordinates pickup with the recipient. Assists with service contracts and contact office vendors and service representatives as needed. Assists EA with DocuSign management. Maintain the conference room schedule using Outlook Calendar. Manages the mailing of Birthday Cards to BGCMA Employees Ensure the postage meter is up to date and instruct the staff on how to operate. Orders supply for

Administrative Office:

break room supplies, coffee supplies, copier supplies, and supplies to keep the supply room stocked with stationery, envelopes, and other office supplies as needed. Processes invoices for Keeps employee general information sheets updated for distribution and as a resource on SharePoint. Daily collection of mail and packages from mailbox. Occasionally assists EA with preparing meeting materials, event management and logistics, catering, room set up & breakdown, maintain and order supplies for support center events and Corporate Board related events and meetings. Other additional and/or alternative duties as assigned from time to time, including supporting other departments as needed. Administrative Support to Chief Development Officer (CDO) Provides direct administrative support to Chief Development Officer Assists the Chief Development Officer with daily administrative duties and manages routine forms for CDO including expense reports, pledge forms, invoices, and documents needing CEO Signature. Assists with internal and external meeting scheduling for Chief Development Officer and Vice President, Resource Development. Prepares agendas, materials and minutes for internal and external meetings. Assists with the preparation of editing of correspondence, reports and presentations. Compiles expense reports for Chief Development Officer and Vice President, Resource Development Assists CDO with donor meeting prep including putting together folders/materials, prospect research, and note taking. Prepares and tracks donor correspondence for CDO, experience in Salesforce constituent management system is a plus. Supports Resource Development’s annual fundraising events, event logistics and post-event follow up in coordination with EA and Front Office Schedules. Supports special projects as needed.

EDUCATIONAL QUALIFICATIONS AND SKILLS

: Education Four-year degree in Business Administration or related field preferred Experience Two or more years related work experience required Experience should include providing administrative support which may include use of Outlook, Word, Excel, Publisher, PowerPoint, Salesforce, Canva and Sage. Skills Excellent communication (verbal and written), spelling, grammar, and inter-personal skills Must be skilled in use of Microsoft Office software and e-mail Experience in Salesforce Database is preferred Must be detail oriented and organized, able to prioritize, meet deadlines and proof work Must be comfortable interfacing with a wide variety of constituents—board members, donors, youth, Club staff and others Must be able to consistently deliver excellent customer service to internal and external customers

ENVIRONMENT & WORKING CONDITIONS

This position will require work in the office five days per week (M-F) to support the duties listed above. Able to travel throughout the Metro Atlanta area to attend donor meetings and events; some evenings and weekends are required. Occasional need to travel to club locations within the Metro Atlanta area. Frequent internal contacts with employees throughout the organization are required. Physical requirements include walking, climbing stairs, and sitting for four-plus hours per day. Light work, exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently.

EMPLOYEE CLASSIFICATION

Nonexempt employees are entitled, under the Fair Labor Standards Act (FLSA), to time and one-half their “regular rate” of pay for each hour they actually work over the applicable FLSA overtime threshold in the applicable FLSA work period.
