Job Description:
Mason Tractor Co. in Waverly Hall, GA is looking for a Parts Administrative Assistant to join our team! The Parts Administrative Assistant needs to have great organizational skills, a basic knowledge of computers, and a willingness to work hard and support others in the department. The Parts Assistant is responsible for printing Open Account invoices as well as unpackage parts and receive parts into our system. If the GM or Parts Manager ask why something hasn’t moved, you are still held accountable. They will then receipt parts into Basic and put away or distribute any RO’s Special Order, and stock items. The Parts Assistant needs to match Packing Slips and invoices, and send a copy of the invoice and Basic Receipt sheet to the accounting department in Blue Ridge (send weekly packet). The admin assistant will contact special order customers about pickup’s and follow up with the customer as needed. The Parts Assistant is responsible for processing Part Returns. This is to be done in conjunction with the Parts Manager. The Parts Assistant is responsible for handling any parts that need to be shipped UPS. Assisting on the parts counter is another one of the Parts Assistants main responsibilities. They are also required to conduct inventory on parts at the end of the year. The Parts Assistant need to create a new shop ticket in the event that the Parts Manager is out. The Parts Assistant is responsible for keeping the parts room clean and organized at all times. This includes empty boxes for shipping need to be “Tetris Style” and put away. It is understood that there will be some things are beyond the abilities of this person, but that does not absolve them from accountability of these duties. Lastly the Parts Administrative Assistant responsibilities are subject to change, and they may be asked to perform other tasks by management.
