We’re seeking an extraordinary Office Manager/Administrative Assistant to support our CEO and ensure our day-to-day operations run seamlessly. The Role As the Office Manager/Administrative Assistant, you’ll be the organizational heart of our company, working closely with the CEO to manage schedules, oversee administrative operations, and support project success. Your attention to detail and proactive approach will ensure every meeting, client interaction, and supply order is handled with precision. Responsibilities Executive Support:
Partner closely with the CEO, accompanying them to client meetings and maintaining detailed notes and follow-ups. Manage the CEO’s calendar, scheduling appointments, meetings, and project check-ins with precision. Serve as the CEO’s “right hand,” ensuring they are prepared and organized for each day.
Administrative Excellence:
Maintain office organization, including filing systems, project documentation, and supply inventory. Place and track orders for materials and supplies, ensuring project timelines are never disrupted. Answer phone calls, emails, and client inquiries with professionalism and warmth, acting as the first point of contact for our clients. Assist with client correspondence, including drafting emails, compiling project updates, and coordinating follow-ups.
Operational Organization:
Keep the office running smoothly by managing vendor relationships and ensuring all necessary resources are readily available. Coordinate with project managers and contractors to track progress and communicate updates to clients. Prepare reports and documentation for project reviews, client meetings, and team updates.
Client Engagement:
Attend client meetings alongside the CEO, taking thorough notes and ensuring client requests are followed through promptly. Build relationships with clients by offering exceptional service and ensuring their needs are met throughout the process. Provide reminders and updates to clients regarding schedules, meetings, and project milestones. Can seamlessly manage multiple priorities, from scheduling to supply orders, without missing a beat. Value collaboration but can also work independently with minimal oversight. Have a warm, professional demeanor that puts clients and colleagues at ease. Qualifications Proven experience in office management, executive assistance, or a related administrative role. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management tools (preferred). Ability to manage a flexible, part-time schedule (8:00 AM – 1:00/2:00 PM). Experience in the construction, custom home building, or design industry is a plus but not required. Excellent organizational and multitasking abilities.
