Position Announcement:
Parish Administrator, 24-28 hrs/wk $25-$28 per hour (Mon-Thurs) St. Alban’s Episcopal Church in Cape Elizabeth seeks an experienced office administrator to support the Rector and the daily operational logistics of the church’s plant and program. We seek an emotionally mature person of generous spirit who is eager to join a talented team in a collaborative environment to support the work of a growing multi-generational congregation of over 600 active members. Essential Duties and Responsibilities:
Ensure the office is open and covered during regular office hours (Mondays thru Thursdays. 9am-3pm) The office is closed on Fridays. Hours can be adjusted around school pickup and drop-off times. There is a Cape Elizabeth school bus stop next to the church. Executive Assistant to the Rector (4-6 hours/wk) Co-manage the Rector’s calendar and email correspondence while ensuring professionalism and confidentiality. Attend administrative, governance, finance, and facilities meetings; maintain, prioritize Rector’s action items. Support logistical needs of Rector and clergy’s pastoral, liturgical, and formation programming. Proofread bulletins and publications. Sending the Thursday bulletin and server emails. Parish Calendar & Building Management (12-14 hours/wk) Maintain the master building calendar, anticipating and communicating with staff and parish on possible conflicts. Working with Comms manager so the calendar is appropriately published in enews, bulletins, and parish website. Manage and schedule contractor work visits and payments. Work with Building & Grounds committee and vendors to ensure the working order of all mechanical and technological equipment in the building. Monitor trash/recycling/CLYNK/Garbage to Garden schedules Schedule and coordinate regular building cleaning and routine maintenance. Supervise quality control on vendor contracts. Schedule and coordinate space use of church facilities for groups; entering formal agreements with outside groups. Provide administrative support to chair of Building & Grounds committee. Occasional setting-up tables and chairs (with assistance from others). Office, Technology, and Hospitality (6-8 hours/wk) Office and Technology Maintain and update parish database-Realm. Maintain parish filing system for physical and digital records in Google drive. Maintain parish register of worship attendance in print and digital. Maintain storage of vital church archives, both physical and digital. Ensure the staff has access to supplies, technology, information needed to perform their duties. Order office and cleaning supplies and manage inventory for the church. Coordinate and supervise office volunteers as needed. Route mail and messages effectively. Respond to calls, including requests for help with pledge payments, ministry scheduling. Hospitality Ensure the office is open and the desk is covered during regular office hours. Welcome visitors to the church, maintaining a tidy entry and common spaces. Handle communications during office hours (phone calls, correspondence, email, etc.). This role will manage a personal email account and the parish email account. This is an hourly, part-time position with lay pension benefits offered through the Church Pension Group.
