Front Desk Agent Ear Nose Throat Medical Service Chesterfield, MO 63017

Job Overview:

We are seeking a detail-oriented Front Desk Person that can work independently to join our team. This person should be able to see a task needs doing and follow through. Should not need supervision or reminders to follow through on tasks that have been assigned to them. The ideal candidate will be responsible for providing exceptional customer service and administrative support at the front desk.

Duties:
  • Greet and assist visitors in a professional and friendly manner. We pride ourselves on our pleasant attitudes and helpful manners
  • Answer phone calls promptly and efficiently 8 am
  • 4 pm M
  • Thurs; 8am
  • 12pm Fri. Employee must be in office during those hours. On clinic days, employee should be in the clinic ready to work 1 hour to 1/2 hour prior to the start of clinic at 8 a.m.
  • Perform reminder calls to patients for upcoming appointments/missed appointments
  • Enter/Schedule new and existing patients into medical office software ( E-Clinical ) and mail/email forms to patients to fill out for first visit.

Collect any co-pays/past due amounts prior to seeing the physician. Schedule follow-up appointments based on doctor’s schedule. This includes scheduling office and hospital surgeries and also scheduling any tests at various facilities. Also ensure patients complete the surgery packets and office visit testing/understand and sign surgery/test orders.

  • Maintain office and doctor calendar and keep updated.
  • Maintain front office area including waiting area and keep it organized, inviting, and clean
  • Call in patient’s prescriptions or electronic prescriptions per doctor’s orders. Be sure to scan all into patient’s chart
  • Process patient registrations, make copies of insurance cards and enter into patients’ computer chart. Verify all patients’ insurance through insurance portals.
  • Checkout patients at end of visit.
  • Manage medical forms and documents for patients’ electronic medical records. This includes test follow-ups.
  • Verify patient information including: balances due/co-pays/deductibles not met/ via insurance portals prior to a patient’s first visit, then follow up at patient’s visit.
  • Perform pre-authorizations prior to scheduling surgeries or office procedures. Inform the physician of any deductible or co-insurance and how to handle. All forms should be scanned into patient’s chart, and copies given to patient. If any denials for pre-authorizations, follow up with physician.
  • Handle patient inquiries and provide accurate information or direct the patient to billing or talk to the physician and call the patient back.
  • Assist with administrative tasks as needed.
  • Any other medical office duties the physician requests you to perform to assist in keeping the office running smoothly and take care of our patients. The pay for this position is flexible and bonuses are available. If the office does well, employees will benefit .
  • Employees receive 1/2 hour for lunch when phones may not be answered.
  • Call in or send electronic scripts for patient’s prescriptions per doctor’s orders.

Requirements:
  • Proven experience in a medical front desk or customer service role
  • Must be able to type a minimum of 40 WPM accurately. Must have ability/knowledge to use Microsoft Word and Excel. This is a requirement.
  • Knowledge of medical administrative support or experience in a healthcare setting is preferred
  • Familiarity with administrative tasks and basic office procedures is a requirement.
  • Understanding of HIPAA regulations and patient confidentiality
  • Experience with electronic medical records systems like E-clinical is a requirement
