Position Purpose Hiring Range:

$41,641 – $43,723 This position serves as the Administrative Assistant and the first point of contact at Surf City Town Hall. It works with the Administrative Services team to support the Public Utilities, Human Resources, Facilities, and Grounds Departments. Work involves performing general office duties, providing customer service, and coordinating office records and schedules. This is a non-exempt full-time position, working weekdays. Duties and Responsibilities These duties and responsibilities are not intended to be all-inclusive. The employee may perform other related duties as negotiated to meet the Town’s ongoing needs. Serves as the first point of contact at the Surf City Town Hall by answering and directing calls and greeting patrons.
Serves as liaison to expedite information flow and interpret policies, procedures, rules, and regulations to varied facets of the organization and the public.
Receives and responds to general inquiries.
Receives and signs for packages and coordinates mail pick-up and delivery.
Performs data entry activities, including typing internal memoranda and external correspondence, entering information into computer systems, and completing forms and reports.
Receives and processes payments made to the Town.
Performing general office functions by making copies, sending faxes, and communicating via email
Researches and assembles information and prepares reports as directed by the Utility Administrative Supervisor or his/her designee.
Assists the Utility Administrative Supervisor with scheduling the staff for meetings.
Troubleshoot office equipment such as fax machines, printers, and copiers by making minor repairs and notifying appropriate repair vendors when necessary.
Monitors front desk activities of the Utilities and Community Development Departments as needed.
Maintains general service requests by routing them to appropriate departments, records the database, and updates them as needed.
Maintain scanning for online land record access, addresses for the Town, and system development fee files.
Maintains work order system to include issuing, monitoring, and providing customer feedback on work orders.
Maintain office supplies by monitoring stock levels and refreshing as necessary.
Perform other duties of a similar nature or level.
Performs work during emergency/disaster situations. Qualifications & KSA’s Qualifications Education and Experience
High School Diploma or General Equivalency Diploma (GED) and the ability to successfully perform the essential duties and responsibilities of the job, such as those listed above. Licenses and Professional Certifications Valid NC Driver’s License
Notary Public (preferred) Knowledge, Skills, and Abilities
Knowledge of records management principles; current office practices and procedures, including knowledge of customary computer-driven word processing, spreadsheet, database, and file maintenance programs; principles and practices of promotional work, including media, printing, or journalism technology; techniques for dissemination of information to the public through a variety of media; the state and town as a tourist attraction; general office operations; customer service techniques; office equipment and supplies; phone answering techniques; mail sorting and delivery concepts; and event planning processes and procedures. Skilled in making routine administrative decisions independently in accordance with laws, regulations, Town policies, and procedures; solving problems and responding to questions; networking; preparing information in correct written or oral form; planning, managing, and coordinating events and activities; adapting to a rapidly changing work environment; and communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.

Additionally, employees assigned middle and upper-level responsibilities within incident operations may also be required to complete additional follow-on courses deemed necessary by Emergency Management and Human Resources staff. Ability to represent the Town professionally and respectfully while interacting with diverse individuals within the workplace and the community. Working Conditions & Physical Requirements Working Conditions The employee is generally subject to inside environmental conditions, including the lighting, temperature, and noise of an open-plan office environment. Physical Requirements Work is performed within an office environment, primarily behind a desk, and frequently includes computer operation. The employee must read, write, and interact with others in person, over the phone, and via other devices. The employee may move within the facility to access file cabinets, documents, office machinery, and other equipment.
Persons in this position frequently lift, carry, push, and/or pull objects weighing up to 10 lbs. They also occasionally move objects weighing up to 20 lbs.
