Job Description

Administrative Assistant Zulch Tax Consultants & Accountants 8 Prince Street, Red Hook, NY 12571 Overview Our professional tax and accounting office is seeking an Administrative Assistant. This position requires a high level of organization, attention to detail, and ability to work in a fast-paced environment. Daily activities include client communication, invoicing and accounts receivable in QuickBooks, new client intake, scanning and archiving, and managing the company newsletter and calendar. Candidates must be comfortable dealing with clients, proficient in computer skills, upbeat, proactive, detail-oriented, able to multi-task and meet deadlines. Typical schedule is between 32-40 hours per week with overtime opportunities during our busy season and a flexible schedule in the summer. Hours could be reduced in the summer if needed. Please note, this position comes with potential growth opportunity to the areas of bookkeeping and/or tax preparation if desired. We offer paid vacation, paid holidays, a 401(k) plan, an HSA plan, and vision and dental insurance. The pay rate range for this position is $20-22 based on experience and qualifications. Responsibilities Manage front desk operations, including greeting visitors, answering phone calls, ordering supplies, scanning, filing, and handling client inquiries. Perform data entry tasks accurately and efficiently, maintaining organized files. Assist with clerical duties such as filing, scheduling appointments, and managing calendars. Manage account receivables using accounting software such as QuickBooks. Maintain a clean and welcoming front desk environment to enhance client experience. Experience Proficiency in Microsoft Office including Outlook, Word and Excel is desired. Knowledge of accounting software including QuickBooks is a plus. Strong attention to detail with the ability to manage multiple tasks simultaneously. Excellent communication skills, both written and verbal, are necessary for effective interaction with clients and team members.
