Hybrid (2-3 days in-person)

  • 12:00 PM (during training), then flexible hybrid schedule

ASAP About the Role We are seeking a detail-oriented and proactive Part-Time Accounting/Office Admin to support our growing operations. This role is ideal for someone who thrives in a dynamic environment, enjoys working independently, and has a knack for organization and numbers. You’ll play a key role in managing financial transactions, supporting sales operations, and ensuring compliance with trade regulations. ⭐ Top 3 Must-Haves 2+ Years of Office/Admin Experience Proven experience in an administrative or office assistant role, preferably in a manufacturing or logistics environment. Familiarity with invoicing, order processing, and vendor/customer communication is essential. Proficiency in QuickBooks Online & Microsoft Office Suite Strong working knowledge of QuickBooks Online, Excel, Word, and Outlook is required. You should be comfortable managing financial records, generating reports, and handling day-to-day accounting tasks. ERP System Experience (Fishbowl Preferred) Hands-on experience with ERP systems is a must. Candidates with Fishbowl experience will be prioritized. You should be confident entering data, managing inventory, and supporting production tracking through ERP tools. Key Responsibilities Manage accounts receivable and payable Invoice customers and ensure timely collections Pay vendor invoices and track payment schedules Enter and develop sales orders and work orders Assist with quote generation for customers Support trade compliance by completing and maintaining export paperwork Input data into our ERP system (Fishbowl preferred) Maintain accurate inventory and production records Communicate with customers and vendors to resolve issues Qualifications High school diploma or equivalent 1-2 years of experience in an office or administrative setting Proficiency in QuickBooks Online Strong skills in Microsoft Excel, Word, and Outlook Experience with ERP systems (Fishbowl is a plus) Excellent attention to detail and organizational skills Clear written and verbal communication Ability to work independently and manage multiple priorities Preferred Skills Familiarity with manufacturing environments Experience with defense manufacturing or ITAR compliance Strong data entry and customer service skills Work Environment Hybrid schedule after training (2-3 days in-person) Business casual dress code Supportive and collaborative team environment Exposure to a manufacturing setting with opportunities to learn and grow How to Apply If you’re ready to bring your administrative and accounting skills to a flexible, part-time role with a growing company, we’d love to hear from you!
