Full Job Description Job Overview:
We are seeking a motivated and organized Administrative Assistant to join our dynamic team at The Westchester Barber Academy, a leading barber, cosmetology and nail school. The successful candidate will provide essential administrative support to ensure the smooth operation of the school, assist students and staff, and contribute to creating a welcoming and efficient environment for our students and visitors.
Key Responsibilities:
Front Desk & Customer Service:
Greet students, staff, and visitors in a friendly and professional manner. Answer phone calls, emails, and inquiries promptly and courteously. Manage student check-in/check-out processes and maintain visitor logs.
Administrative Support:
Assist with scheduling classes, appointments, and events. Maintain student records, attendance logs, and other documentation. Prepare and distribute correspondence, forms, and notices. Manage inventory of supplies and order office essentials as needed.
Student & Staff Assistance:
Provide general information about courses, programs, and school policies. Support student enrollment, registration, and orientation processes. Coordinate with instructors and staff to facilitate daily operations.
Office Management:
Maintain organized filing systems, both digital and physical. Assist with billing, payment processing, and financial record keeping. Support marketing efforts by updating social media or school website content as directed.
Qualifications & Skills:
High school diploma or equivalent; additional education or experience in administrative roles preferred. Proven experience as an administrative assistant or in a similar role. Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Proficiency with technology including Google Suite, Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills. Friendly, professional demeanor with a customer-service orientation. Ability to handle sensitive information with discretion.
Preferred Qualifications:
Experience in an educational environment. Knowledge of student management systems or scheduling software. Basic understanding of billing and financial procedures.
Working Conditions:
Typical office hours are Monday to Friday from 8:45am to 4:00pm, with some flexibility required for events or meetings outside regular hours. Fast-paced environment requiring multitasking and prioritization. This position will start as a 1099 independent contractor position with no health or vacation benefits.
