Position Summary:

The Administrative Assistant I for the Fulfillment department provides coordination and support of the general day-to-day administrative, clerical, and operational tasks related to the successful management of the school’s fulfillment department. The Administrative Assistant performs moderately complex secretarial and clerical tasks which may include, but are not necessarily limited to, drafting communications and department notifications, scheduling coordination, correspondence with vendors, assisting in the planning, and coordination of events, inventory coordination, conducting research, and gathering information. This position works under moderate supervision in performing a variety of tasks that require a degree of independent judgment and discretion. The Administrative Assistant will be responsible for the successful completion of the following tasks: Collaborate with internal and 3rd party partners to track and maintain equipment inventory levels. Distribute routine reports and complete day-to-day tasks to support the department. Communicate with students/families and staff in a professional and respectful manner. Complete requested research and maintain department calendar. Prepare shipping labels and documentation using internal systems and shipping platforms. Maintain accurate inventory records, department documentation, and assist in stock audits and reordering processes. Handle routine correspondence related to shipments, returns, and missing items. Transport materials/equipment safely and efficiently between the school office, warehouse, and/or shipping locations as needed during the workday to support operational needs. Support the department in scheduling, filing, data entry, and other administrative tasks. Comply with privacy and data protection policies when handling student and staff information Participate in periodic reviews of process improvements and departmental workflow optimization

Education/Qualifications Minimum Education/Certification:

High School diploma required. Associate’s degree from an accredited college or university preferred. Possesses all PDE required clearances for school-based personnel.

Experience Requirements:

Minimum of two (2) years of relevant administrative and/or clerical duties.

Responsibilities:

Must reside in the state of Pennsylvania Must live within a commutable distance of the Harrisburg office. Required to work in the office at least three (3) days per week. Ability to pass the background checks required for all school employees in Pennsylvania. This position could include limited travel and could include limited overnight travel.
