Data Clerk – File Room
Qualifications:
1. Minimum of two years of related work experience.
2. Proficiency in keyboarding, Microsoft Office (Word and Excel), and database management.
3. Knowledge of confidentiality protocols related to student information and data.
4. Strong oral and writtenmunication skills.
5. Exceptional organizational skills and attention to detail.
6. Ability to provide support to district personnel, schools, and parents with professionalism and efficiency.
7. Ability to work independently and productively with minimal supervision.
8. Physical ability to bend, lift, pull, and carry boxes of records (approximately 25 lbs).

Job Goal:
To manage and ensure the security, accuracy, andpliance of special education records for both active and inactive students, including digital record transfers. Cross-trained to support student assignment tasks, aiding in the placement and transportation coordination of students when necessary.
Performance Responsibilities:
- Primary Responsibility –
Records Management:
- 1.
Organize and maintain both active and inactive records for students who have withdrawn, graduated, or are involved in legal proceedings.
2. Ensure the daily accuracy and security of special education records, maintaining organization in file rooms and digital records systems.
3. Manage operating systems for record requests, ensuring timely fulfillment for sending and receiving schools, districts, agencies, and other entities.
4. professional judgment to process record requests, purging, and disposal in accordance with retention schedules.
5. Complete state records disposal forms and oversee record purging and disposal inpliance with district, state, and federal mandates.
6. Maintain aprehensive file request database to document all record requests from schools, districts, agencies, and other entities.
7. Facilitate the secure movement and exchange of due process files across schools, districts, and agencies.
8. Provide professional, courteous service to all external contacts, maintaining high standards formunication via telephone, mail, email, and fax.
- Cross-Training –
Student Assignment and Placement Support:
- 1.
Assist, as needed, with assigning students to specialized classes or programs based on IEP Team decisions, including school reassignments.
2. Collaborate with Planning and Demographics on specialized class assignments, supporting student placement accuracy.
3. Maintain and update specialized class assignment databases and spreadsheets for district planning purposes.
4. Coordinate and process transportation requests for students in specialized programs, serving as a point of contact with the transportation department.
5. Support roster management for special education teachers, including back-to-school and Federal Child Count records.
6. Prepare assignment letters for students placed in specialized programs during the school year and for the following academic year.

Additional Support:

1. Provide Tier 1 technical support for special education software, assisting with troubleshooting and maintenance.
2. Cross-train with team members on essential tasks to ensure continuity of service. -
Terms of Employment:
- 12-month position paid on Support/Annual Salary Schedule in Group H.
