Skillset And Background Bachelor’s degree preferred, but not required Comprehensive computer skills, including the Quickbooks, Microsoft 365, and G-Suite Exceptional writing, editing, and proofreading skills Excellent organization and time-management abilities Responsibilities
- Provide administrative support to Executive Director, Facility Managers, Staff, Board of Directors, and residents – as needed
- Proofread and edit various reports, documents, web pages, and communications
- Represent the organization professionally as the initial point of contact in-person, electronically and over the phone
- Develop and maintain relationships with vendors, donors and press contacts
- Manage incoming and outgoing mail and packages
- Maintain a timely and efficient bi-weekly Accounts Payable schedule
- Preserve and maintain clear, consistent electronic and hard copy filing systems
- Organize and develop the procurement bidding process with multiple vendors annually
- Utilize knowledge of basic AP/AR processes to maintain organizations bookkeeping system and schedules
- Adhere to a structured filing system to support efficient monthly, quarterly and year-end financial reporting
- Research, qualify, write, and edit letters of intent and grant proposals
- Create, proof, edit, and update fundraising materials
- Prepares reports to Board of Directors (BOD), Treasurer, Executive Director, and all Board Committees
- Accurately and efficiently record and reconcile fundraising receivables ie: record, review, and manage donor data for up-to-date accuracy in CRM
- Reconcile financial information, providing donors with Letters of Acknowledgment and Year-end Financial Contribution Summaries in accordance with nonprofit 501(c)(3) best practices
- Assist with event planning and fundraising campaigns: venue, vendor/raffle/swag acquisition; direct mail, traditional journalism, and social media material development, production, and distribution
- Write and publish articles furthering the mission of Fern House
- Responsible for scheduling, tracking, and maintaining Department of Health and OSHA certification, and commercial insurance policies
- Attend all BOD and committee meetings, capturing and distributing meeting minutes
- Manage daily office operations, supply ordering, and professional/public inquiries
- Organize and oversee community service volunteers assigning tasks as needed
