Ability to download, export, and manipulate data for reporting & billing purposes, with use of basic Microsoft Excel formulas Communicate with customers regarding billing discrepancies, while working directly with the Operations Manager and reporting to the Managing Partner Create billable items within QuickBooks, according to Customer Agreements Maintain and update electronic customer files and account details, as needed.
ACCOUNTS RECEIVEABLE
Track deposits made to the bank Enter and balance accounts receivable and payable on a daily basis within Banking feature of QuickBooks. Process and monitor credit card charges, payment discrepancies & customer discounts Issue timely billing statements and follow up on past due accounts
ACCOUNTS PAYABLE
Enter Vendor bills into QuickBooks, verifying against Item Receipts (which are entered in against Purchase Orders by the Receiving Team) Enter Vendor bills into QuickBooks, selecting correct Expense account Process timely payment via Vendor portal(s) for select accounts Scan and attach applicable backup documents to bills within QuickBooks Maintain and update electronic vendor files and account details, as needed.
ADDITIONAL TASKS
Work with Sales Team to enter Sales Orders into QuickBooks, when needed, for warehouse processing. Work with Procurement & Supply Chain Team to enter Purchase Orders into QuickBooks, when needed, for vendor processing. Maintain orderly electronic financial filing system Create and update reports and spreadsheets as needed Assist with running reports & other accounting projects within the office Reports to the Vice President, working directly with the Operations Manager, Procurement & Supply Chain Manager and Managing Partner as well. Opportunity for growth & advancement Skills & Attributes Proficient knowledge of QuickBooks and MS Office (mainly Microsoft Excel) Excellent & efficient communication and administrative skills Exceptional organization and time management skills, operating with a sense of urgency, when needed, on applicable tasks Strong attention to detail Ability to meet all assigned deadlines Experience with bank reconciliation and tracking credit card transactions Excellent math skills and the ability to analyze Ability to self-manage, work independently, and re-prioritize as needed
