The Chief Operations Officer (COO) oversees all operational elements and growth of the Health & Wellness Vision. This role is crucial in driving structure, efficiency, performance, and maintaining exceptional customer experiences.

Primary Responsibilities:

Provide leadership, strategy, and direction to clinic employees. Foster an environment that promotes high performance, accountability, and exceptional customer service. Oversee onboarding processes and educational systems for hiring, training, and developing employees. Guide the creation of Standard Operating Procedures (SOPs) to ensure consistency and scalability for current and future employees. Integrate the patient journey with the Unique Branded Protocol Oversee all financial processes to ensure smooth and efficient operations. Serve as the Technical Systems Champion and efficiency driver. The primary operating system is Zenoti.

Duties and Responsibilities Include:

Create and communicate SOPs and policies for groups and individuals utilizing the facilities. Lead recruitment, retention, and turnover practices with full team buy-in. Oversee leadership staff performance, providing timely feedback, coaching, and discipline as appropriate. Assist in recruiting and selecting team members while maintaining a positive work culture. Be available and on-call 7 days a week for staffing emergencies (excluding scheduled vacations without internet or phone access). Facilitate productive staff meetings and training sessions, guiding discussions with mutual respect and focusing on productivity using the Traction EOS operating system. Build strong relationships with management and peers, ensuring benefits for both clients/patients and staff. Lead by example—demonstrating a willingness to learn new skills and maintain a positive demeanor with patients and co-workers. Guide employees to align with evolving policies and procedures, and coordinate business development, follow-up, and retention processes. Maintain effective, approachable communication with staff. Support budget creation and ensure operational decisions uphold profit margins. Collaborate with accounting to ensure timely monthly reconciliations and sales data accuracy. Plan and monitor departmental goals, providing regular performance appraisals. Assist with payroll and billing inquiries, ensuring adherence to timelines. Review weekly Master Sales Reports and individual/company KPIs, and facilitate check-ins with leadership staff and providers. Oversee business systems management and continuous improvement initiatives. Assist the marketing team with promotions or copywriting to generate clients and revenue through email marketing. Participate in community outreach activities, including marketing projects. Deliver outstanding customer service and professionalism to both the internal team and external patients. Oversee the development of new products and services from concept to rollout. Support the overall strategy and implementation of key strategic plans.

Additional Responsibilities:

Assist in medical, contractor, and employee documentation processes; forward records to HR for compliance and filing. Manage direct reports in accordance with effective leadership practices. Coordinate and facilitate employee evaluations for direct reports. Lead and guide team members in fully utilizing technical systems. Maintain calendars and operational systems for optimal functionality. Demonstrate flexibility and adaptability to change in a positive and productive manner. Exhibit exceptional attendance, punctuality, and professionalism. Maintain a positive attitude with both patients/clients and co-workers, especially during times of change. Foster unity within the team—recognizing that individual performance matters, but team performance is paramount. Consistently shine in interactions with both internal customers (co-workers) and patients, upholding professionalism and positivity. Take on additional responsibilities and special projects as assigned.

Required Experience and Qualifications:

To fulfill this role with the excellence and integrity it demands, the individual must demonstrate: Proven Experience in Clinic, Wellness Center, or Spa Operations successful track record of building, managing, or scaling a clinic, integrative wellness center, or high-touch spa environment—ideally one that combines functional medicine, regenerative therapies, or transformational experiences. Operational and Systems Mastery Deep understanding of how to create and refine standard operating procedures (SOPs), workflows, client journeys, and team accountability systems. The ability to architect infrastructure that scales without sacrificing quality or soul. Technical Excellence and Process Orientation A meticulous eye for detail and a commitment to quality in every area of execution—from backend systems to client-facing touchpoints. Able to organize complexity into elegant, repeatable processes. Strong Communication and Leadership Skills Exceptional interpersonal and leadership abilities.
