Summary
The Facilities/Asset Specialist will be responsible for conducting all aspects of office coordination and Computerized Maintenance Management System (CMMS) processing. The Facilities/Asset Specialist plays a vital role in maintaining accurate records of all facilities-related assets across the campus. This position is responsible for managing the asset inventory database, tracking lifecycle and maintenance of equipment, coordinating with various departments for asset needs, and ensuring compliance with college policies and regulatory requirements. The Specialist also supports capital planning, preventive maintenance scheduling, and facilities-related reporting. This position may require work after hours and weekends. The position will work and manage the capital asset inventory for the College.
Essential Functions
The duties and responsibilities include – but are not limited to – the following:
1.
Asset Tracking and Inventory Control:
Maintain up-to-date records of all capitalized assets using asset management software.
2.
Procurement Assistance:
Work with departments to purchase and receive new assets.
3.
Asset Maintenance Coordination:
Schedule regular maintenance and repair for equipment and furniture.
4.
Audits:
Conduct periodic capitalized asset audits to ensure inventory accuracy and compliance with institutional policies.
5.
Disposal Management:
Oversee the proper disposal of outdated or non-functional assets in line with institutional and environmental regulations to include bid sales.
6.
Reporting:
Generate regular reports for finance and administration on capitalized asset status and lifecycle.
7.
Compliance:
Ensure capitalized assets are operable as intended and meet safety and regulatory compliance standards.
8.Prioritize and conduct routine preventive maintenance duties as assigned through the Computerized Maintenance Management System (CMMS). Review and request updates to the preventive maintenance (PM) Task List with the Facilities Administrative Assistant, when needed.
9.CMMS report reviews and updates, including the PM schedules and asset updates.
10.Assistance with special CMMS projects, as needed by CMMS Administrator.
11.Prioritize, create, and complete non-PM work orders assigned through the Computerized Maintenance Management System (CMMS).
12.
Front desk support:
greeting students, the public, faculty, and staff in a professional and courteous manner.
13.Generating all departmental work orders via the CMMS. Processing the same for all required documentation and reporting.
14.Assisting the Mail/Shipping/Receiving Clerks, as needed.
15.Key request verification, distribution, and posting.
16.Perform all duties and assist all people on our campus in a professional manner that honors and promotes the five core values of Sandhills Community College, which are: integrity, [persistent] helpfulness, excellence, respect and opportunity.
Qualifications
1.High School Diploma or GED required.
2.Valid North Carolina driver’s license.
3.Experience and proficiency with computers in the realms of data entry, word processing, and spreadsheets.
4.Strong interpersonal skills, which include a pleasant disposition and the ability to interact, clearly communicate, and maintain effective relations with students, the public, faculty, and staff.
5.Experience and proficiency in clerical skills in an institutional environment.
6.Experience using mobile device technology including apps, messaging, etc.
7.Ability to participate in, comprehend, and practice/apply safety training throughout the course of duty.
8.Ability to interact, communicate and maintain effective relations with students, faculty, staff and the public. 9.Ability to follow guidelines/directives and maintain a neat and professional appearance.
