PRIMARY FUNCTION/PURPOSE
The Chief of Staff is the CEO’s right hand and a key architect of internal alignment and organizational strategy. This position drives operational efficiency, leads cross-departmental initiatives, and ensures the CEO’s priorities are implemented effectively. Acting as a force multiplier, the Chief of Staff streamlines communication across departments, supports decision-making, and leads time-sensitive projects that are critical to the organization’s growth and impact. This is a high-trust, high-visibility role for a strategic thinker who thrives behind the scenes and can pivot between big-picture planning and on-the-ground execution. The Chief of Staff (CoS) assists the Chief Executive Officer (CEO in managing HSNY’s day-to-day affairs and coordinating across departments. The CoS serves as the organization’s liaison to the Board of Directors. Often self-directed and driving and managing projects and initiatives on behalf of HSNY’s leadership team, the CoS offers recommendations on staffing and designs and implements systems and operations improvements to ensure HSNY meets its contract obligations and any regulatory requirements. As a member of HSNY’s leadership team, the CoS helps guide the organization’s strategy planning and policy deliberations. The CoS also directs corporate governance-related matters and improvements and works across departments to ensure HSNY timely addresses and fully responds to any corrective action plans from a funder and any internal or external investigation. The CoS plans and directs all administrative oversight and matters for the CEO and organizes and prioritizes critical issues and required information for the leadership team in order to facilitate efficient decision-making and serves as the key point of contact for the CEO and leadership team.
DUTIES AND RESPONSIBILITIES
Executive Management Develop a thorough understanding of HSNY and its mission, operations, structure, and culture to ensure the highest level of support and counsel to the CEO, the Board, and the leadership team. Assist the CEO and leadership team in managing workflow to ensure HSNY’s key priorities receive appropriate and timely attention: Ensure the timely flow of information and responsiveness to, from, and among the leadership team other necessary parties Provide staff support to the leadership team Collaborate with senior management to ensure that priorities and action items from the CEO and leadership team are properly communicated and acted upon Create and implement special projects as assigned by the CEO and as self-directed Draft, edit, and summarize high-level correspondence and memoranda for the leadership team; proofread and revise documents at the CEO’s request Serve as the CEO’s ambassador at internal and external meetings, as assigned; brief the CEO on meeting content, outcomes, and action items Develop annual department budget and monitor expenditures for the leadership team. Corporate Governance Serve as the key liaison among the CEO, leadership team, and the Board of Directors. Oversee the development and finalization of quarterly board meeting agendas to ensure that HSNY priorities are thoroughly addressed and all necessary and required reporting and transactions are completed with proper authorization from the Board of Directors. Ensure transparency and compliance with HSNY’s governing documents and legal and regulatory requirements. Consult with legal counsel, as appropriate, on all matters of Board and corporate governance and compliance with federal, state, and local requirements, among other considerations. Coordinate processes pertaining to Board governance, including but not exclusive to: Quarterly and special Board meetings Creation, distribution, use, and retention of any permanent organizational records, such as Board meeting minutes Adherence to HSNY’s conflict of interest policy and general ethics policies, among others Drive new Board member recruitment activities and orientation Design and implement learning opportunities for Board members. External Affairs Cultivate and assist in maintaining relationships with elected and appointed public officials to address HSNY priorities to better serve its clients. Serve as a liaison among HSNY, funders, and any other or internal or external parties. Review and appraise corporate sponsorship opportunities that serve the needs and interests of HSNY’s clients.
POSITION REQUIREMENTS
Bachelor’s degree required; Master’s in Public Administration, Business, Nonprofit Management, or related field preferred 5+ years of experience in executive-level operations, strategy, or cross-functional project management (nonprofit or government experience a strong plus) Proven track record of managing high-stakes initiatives with confidentiality, discretion, and diplomacy Five or more years of relevant work experience, such as effectiveness in building and maintaining complex relationships, working with a diverse group of senior management professionals, and relationship cultivation among government officials, community leaders, and other constituencies. Strong analytical and organizational skills and the ability to anticipate, strategize, plan, and problem solve. Self-directed with the ability to prioritize and manage multiple projects simultaneously and meet deadlines. Ability to work under pressure with proficiency, diplomacy, and professionalism. Strong interpersonal skills, exceptional written and oral communications skills, and the ability to respond sensitively and patiently to staff and community inquiries and concerns. A high level of cross-cultural competency, including a thorough understanding of multicultural audiences and how to operate effectively amid a broad array of funders, community representatives, business leaders, etc. Ability to work in a complex, fast-moving environment requiring significant collaboration and a willingness to take a proactive role in team efforts and encouraging open communication across internal and external partnerships. Ability to exercise sound judgment and complete discretion when working with confidential and sensitive information. Exceptional IT skills, including Microsoft Office Suite, e-collaboration tools, internet research skills, etc. Strong commitment to professional development as demonstrated through involvement in professional associations, training programs, and workshops. An advanced degree in business or nonprofit administration, humanities, law, political science, or related field of study is desirable. Employee must possess exceptional written and oral English communications skills. Ability to speak and write fluently in Spanish or other foreign language is desirable.
