We’re growing — and looking for an Operations Manager who’s ready to help us scale the right way . About the Role The Operations Manager is the glue that holds daily clinic operations together. You’ll work side-by-side with clinical and corporate teams to ensure everything runs smoothly, accurately, and compliantly — from schedules and timesheets to PTO and session audits with the billing team. This role is ideal for someone with 1-2 years of experience in ABA operations or healthcare admin, who’s ready to step into more ownership and grow with a fast-moving, mission-driven company. Key Responsibilities 1. Timesheet Review & CR Compliance Review team member timesheets weekly for completeness and accuracy. Cross-reference timesheets with CentralReach (CR) data. Identify and follow up on missed punches, labelling errors, and non-compliance issues. Prompt staff for billing and timesheet corrections and support ongoing process compliance. 2. Scheduling Correspondence & Conversion Checks Ensure sessions are correctly labelled and aligned with CR documentation. Oversee and track session conversions and monitor discrepancies Perform weekly audits of session data to ensure accuracy and integrity, and send timely reminders to team members for session conversions. Provide oversight and guidance to the Scheduling Coordinator, assisting with workload management and process improvements to optimize scheduling accuracy and efficiency. 3. PTO Request Management & Processing Track and manage PTO and UPTO requests using internal trackers and systems Review, enter, and correct PTO entries to ensure alignment with payroll and scheduling. Communicate with team members regarding time-off balances, accruals, and policy guidance. Audit delegated PTO-related tasks for accuracy and ensure they are properly reflected in schedules. 4. KPI & Capacity Tracking Update weekly KPI dashboards and monitor key operational metrics to increase client utilization. Update and maintain the center capacity tracker to reflect staffing, client assignments, and forecast future needs for effective scheduling and planning. Provide each Clinical Director with actionable updates to drive increased authorized service hours and team-level improvements. 5. Human Resources Support Tasks Support in the Performance Improvement Process by assisting with monitoring, documentation, and follow-up actions. Assist in onboarding new employees by ensuring timely access to company resources, managing scheduling needs, and establishing connections with key corporate contacts. Accurately process and manage payroll on schedule by verifying time records and quickly address any payroll issues or errors. 6.

Manage intakes:

Own the Onboarding Flow

  • Coordinate every step of the intake from initial inquiry to first scheduled session ensuring paperwork, insurance verification, and clinical assessments move swiftly and accurately through the pipeline. Communicate Clearly & Consistently
  • Be the bridge between families, clinicians, and admin setting expectations, following up proactively, and ensuring no question or form falls through the cracks. Track Progress & Flag Bottlenecks

g., waiting on paperwork, insurance approvals), and work with the team to resolve them quickly so clients can start services without delay. Qualifications 1+ years of experience in ABA operations, healthcare admin, or related field Familiarity with CentralReach or similar EMR/scheduling platforms (preferred) Highly organized, detail-oriented, process-driven, and demonstrates great time-management skills Comfortable respectfully holding team members accountable and supporting in corrective action meetings Strong problem-solving and process improvement focus, aimed at shaping better support processes. Strong communication skills and a bias toward action and proactive follow-up Comfortable navigating fast-paced, growing environments with evolving needs
