Coldwell Banker Southern Coast is seeking a professional, team-oriented, and highly organized Agent Success & Operations Coordinator to support the day-to-day operations of our high-performing real estate office. This role is key to maintaining an efficient, professional, and productive environment by providing exceptional administrative support, agent services, company marketing coordination, and back office operations. This is more than just an administrative position—it’s an opportunity to grow within this role on the foundations set by a respected brokerage . The right candidate will build on established systems and gain experience in operations, marketing, and leadership as our company continues to expand.

Key Responsibilities:

Administrative & Front Desk Support Greet clients and visitors with warmth and professionalism; direct them appropriately. Answer phone calls, relay detailed messages, and manage multi-line systems. Accept and record payments, issue receipts, and maintain accurate logs. Track office walk-ins, floor leads, and assist in general lead capture systems. Distribute mail and packages, manage faxes, and ensure timely internal delivery. Maintain the organization and presentation of the front office and shared spaces. Order and manage office supplies and inventory. Agent & Sales Team Support Prepare weekly sales meeting materials and assist with coordinating agent caravan participation. Create and manage the monthly floor duty schedule. Provide support for flyers, listing packets, data input, and MLS coordination. Keep copier stations stocked and submit service tickets when needed. Customer Service Serve as the first point of contact for agents needing assistance. Troubleshoot routine requests and escalate issues as needed. Maintain a strong service culture with a positive and helpful attitude. Company Marketing Assist with the execution of the brokerage’s marketing calendar. Maintain and schedule posts across company social media platforms. Help create marketing materials for events, open houses, sponsorships, and recruiting. Coordinate company-branded graphics, flyers, and email templates. Support visibility efforts for community engagement and public relations. Back Office Operations Support agent onboarding: prepare welcome packets, set up accounts, and coordinate office access. Maintain internal files and transaction folders for compliance and organization. Input data into CRM systems, track agent production, and generate office reports. Assist in vendor coordination, service calls, and office equipment upkeep. Ensure transaction timelines and internal deadlines are tracked and communicated. Support Dotloop, BoomTown, Follow Up Boss, and other integrated platforms used in operations. Operational Efficiency Enforce and improve upon office systems, workflows, and standard operating procedures. Monitor and support implementation of office policies and team accountability tools. Collaborate with leadership to streamline office functions and propose improvements.

Qualifications:

Proven administrative or office operations experience, preferably in real estate or a service-based industry. Strong multitasking skills and the ability to stay organized in a fast-paced environment. Excellent communication skills (written and verbal) and a team-first mindset. Proficiency in Google Drive, Microsoft Office Suite; Canva, Dotloop, CRM, or social media experience a plus. Comfortable working with cloud-based systems, digital file storage, and workflow tools. High school diploma required; post-secondary education in Business, Real Estate, or Marketing preferred.
