Position Overview:

The Billing Operations Manager will be responsible for the accurate and timely execution of client billing across the firm, leveraging industry expertise and technical systems to ensure precision and scalability. This role will play a vital part in supporting advisor satisfaction and revenue integrity.

Key Responsibilities:
  • Manage the end-to-end client account billing process for advisory fees, including fee calculation, invoice generation, and reconciliation.
  • Special focus on billing for our custom arrangements in our Integrated Portfolios.
  • Collaborate with client service, operations, and advisor teams to resolve billing issues and ensure seamless experience for clients.
  • Assist team in coordinating with multiple custodians and outside data providers.
  • Maintain, audit, and enhance billing data and records in portfolio accounting systems and CRM tools.
  • Identify and implement process improvements to support scale, automation, and accuracy.
  • Support the onboarding and integration of billing processes for acquired firms or newly onboarded advisors.
  • Oversee monthly/quarterly fee transactions and processes, ensuring accuracy and timeliness, and that regulatory requirements are met.
  • Develop and maintain billing forecasts to support financial planning and revenue analysis.
  • Support internal audits, regulatory reviews and external audit with accurate documentation and reporting.
  • Assist with firmwide operational functions and regulatory compliance projects as needed.
  • Train and mentor team members as the department expands.
Qualifications & Skills:
  • 4+ years of experience in a billing, operations, or finance role within a Registered Investment Advisor or related financial services firm.
  • Deep understanding of custodial platforms (Schwab and Fidelity are a strong plus)
  • Strong familiarity with portfolio accounting platforms such as Addepar, Orion, Black Diamond, or Tamarac, and CRM systems such as Salesforce or Redtail.
  • Proficiency in Microsoft Excel and data reconciliation.
  • Excellent analytical and quantitative skills; confident with fee calculations, AUM tiers, and performance-based billing structures.
  • Impeccable attention to detail and a proactive problem-solving mindset.
  • Strong business common-sense problem solving and critical thinking skills.
  • Multi-task with ability to pivot and re-prioritize projects and tasks quickly.
  • Outstanding interpersonal skills and ability to communicate with both advisors and internal team members
  • Experience with high-net-worth and institutional client structures a plus.
Preferred:
  • CPA, CFA, or progress toward such designation.
  • Experience with acquisition integration or firm consolidation within the RIA space.
  • Familiarity with SEC and FINRA fee disclosure best practices.
