The Assistant Property Manager will focus on responsibilities centered around: The beautification/property condition reports for communities and long-term rental leasing (6 months or more) Maintenance management
Invoicing and Billing Short-Term Rental Management:
The check-in and check-out process for short-term rental leasing (6 months or less) It is essential for the APM to understand that the roles may change to keep up with company demand. For example, investors may buy or sell properties anytime during the year. This will change the number of short-term or long-term rentals available.
ROLES AND RESPONSIBILITIES

Communications Email Management:
Respond to, process, and generate tasks for all requests in the company’s general email account.
Phone Management:
Answer calls and respond to voicemails for general inquiries, rental inquiries/showing requests, and maintenance requests
Portal/Text Management:
Respond to, process, and generate tasks for all online portal and text message system requests.
Appointment Management:
Schedule all property showcases, consultations, management phone appointments, etc., according to the customer’s needs.
Task Management:
Create, assign, re-assign, and follow up with all tasks/activities in the management system to ensure the team addresses all customer needs. Manage file notes and customer interaction documentation according to company standards and procedures. Prospects /
Listings Maintain Listings:
Ensure all listing details, booking availability/prices, and linked calendars are correct across all STR platforms. Ensure the property receives high visibility and all changes are entered and reflected accurately. Ensure that Coming Soon listings are updated in the software system. Make properties live on the GPS website, MLS Stellar website, AffordableHousing.com, VRBO, AirBNB, and all other applicable websites to ensure premium marketing. Respond to
Inquiries:
Maintain a high response rate and respond to all incoming guest and renter inquiries regarding our available properties for rent. Answer all questions to ensure the property is a good fit. Coordinate showings with realtors and confirm that appropriate notice is provided to occupants. Applications /
Approvals:
Send interested prospects the link to the rental application. Follow up with prospects for missing documents and incomplete applications. Process submitted applications and create approval summaries for landlords. Confirm the applicant’s leasing agent to ensure Realtors receive their referral fees.
Deactivate Listings:
Remove leased listings from all marketing platforms
Coordinate Turn Cleanings:
Schedule or coordinate cleanings according to company guidelines. Ensure STR properties are stocked with inventory and reset to the presentation guide standards.
Assess Reviews:
Secure 5-star Reviews after guest check-outs or tenant move-ins. Review and assess guest reviews and feedback for process or property improvement. Maintenance /
Property Condition Reports Maintenance Requests:
Enter and process all maintenance requests. Coordinate estimates and approvals according to landlord or board member guidelines. Conduct site visits and updates for the duration of maintenance projects. Document and process property Turnover to decrease vacancies.
Emergency Maintenance:
Monitor all emergency maintenance requests to ensure timely completion and communication with property owners.
Landlord Approvals and Contributions:
Ensure no work is completed before getting the landlord’s written approval or relying on their predetermined maintenance notice. Ensure landlords contribute the funds for all approved work, so vendors receive payment within 7 days of completion.
Proof of Service:
Ensure all contracted work has before-and-after photos from each vendor. All work must be verified before releasing payments.
Property Condition Reports:
Conduct all Move-In, Intra-Lease, Move-Out, and Beautification property condition reports to document the property’s overall care.
Vendor Relationships:
Establish, maintain, and discontinue vendor relationships per company guidelines. Resident /
Landlord Management Accounts:
Set up all new customer accounts in the system (i.e. landlords, tenants, prospects, vendors, etc.)
Contracts:
Draft and send all notices and documents requiring electronic signatures according to company and regulatory requirements. (i.e. leases, management agreements, RFTAs, HAP Contracts, rental assistance agreements, notices, rental verifications, etc.) Tenant / Guests /
Community Resident Payments:
Enter all cleared payments into the management system under the appropriate ledger files Move residents and homeowners in and out of the system per company guidelines. Qualifications Strong customer service skills and experience in property management and leasing Knowledge of Fair Housing regulations and landlord-tenant law Familiarity with LIHTC, Yardi, and OneSite software Proven conflict management and negotiation abilities Administrative experience with data entry, filing, and customer relationship management Understanding of Section 8 and real estate administrative processes
