We are seeking a friendly, highly organized, and tech-savvy Front Desk Receptionist & Customer Service Representative to be the first point of contact for our customers, vendors, and visitors. This dual-role position is key to supporting the day-to-day operations of our office while ensuring a professional and welcoming environment. The ideal candidate will thrive in a fast-paced, multitasking-heavy environment and balance front desk duties with direct customer support, administrative responsibilities, vendor coordination, and internal culture initiatives. This position requires strong communication skills, a proactive attitude, and comfort working with digital tools like Routeware (CRM) and Samsara GPS .
Key Responsibilities:
Customer Service & Front Desk Operations Greet and welcome all customers, vendors, and visitors in a courteous and professional manner. Answer and manage a high volume of incoming phone calls; responsible for turning phone systems on and off daily. Troubleshoot customer issues, including: Answering billing and invoice questions. Accepting payments and assisting customers with auto-pay setup. Handling service routing changes, frequency adjustments, and general account updates. Starting or stopping services. Addressing and resolving general customer complaints effectively and professionally. Monitor and respond to company emails, forwarding messages to appropriate departments as necessary. Utilize Routeware (CRM) to access customer data, update records, and document service issues or changes. Use Samsara GPS to track vehicle locations and coordinate responses for service-related inquiries. Materials Yard Coordination Collaborate with the yard operator to support efficient customer pickups and material handling. Process and log monetary transactions related to the materials yard (cash/card). Maintain accurate records of yard activity and payments. Vendor Management & Supply Ordering Serve as the primary liaison with office and supply vendors. Order, track, and restock office essentials, including uniforms, paper goods, kitchen supplies, and cleaning products. Proactively monitor supply levels and prevent shortages. Administrative Support & Office Management Maintain an organized, tidy, and welcoming front office space. Assist with filing, document preparation, mail distribution, and general administrative tasks. Coordinate internal communications, ensuring timely distribution of updates and announcements. Culture & Community Engagement Plan and implement internal community-building efforts such as: Creating and distributing employee birthday and celebration cards. Decorating for holidays or staff events. Supporting staff recognition and engagement activities to promote a positive and inclusive workplace culture.
Qualifications:
High school diploma or equivalent required; associate degree or administrative training preferred. 2+ years of experience in a receptionist, administrative, or customer service role. Strong communication and interpersonal skills, with a customer-first mindset. Proven ability to multitask and manage priorities in a fast-paced environment . Comfortable handling payment transactions (cash/card) and maintaining accurate financial records. Tech-savvy and able to learn and navigate digital platforms quickly , including: Routeware (CRM) Samsara GPS tracking Microsoft Office Suite (Word, Excel, Outlook) Email and phone systems Excellent organizational skills and high attention to detail. Calm, professional demeanor when handling complaints or complex customer issues. A proactive, dependable team player who enjoys working both independently and collaboratively. Why Join Us?
