Service Director Position Summary Stronghold Systems is seeking a Service Advisor to provide high-level administrative and customer support for our heavy-duty truck and equipment repair division. In this role, you will serve as a central hub of communication between the front office, technicians, and customers — ensuring that job intake, invoicing, collections, and documentation are completed with consistency, accuracy, and care. You’ll play a key role in coordinating workflows, maintaining internal records, and supporting our service operations using platforms like Fullbay. From technician time tracking to invoicing and reporting, your contributions will directly support the success of our service team and the satisfaction of our customers. Key Responsibilities Administrative & Service Order Support Open and manage service orders in Fullbay based on incoming job requests Accurately enter service details, job scopes, technician hours, and parts used Maintain well-organized service records and documentation in accordance with company standards Customer Communication Serve as a secondary point of contact for customers, as directed by the Service Director Provide timely updates on job progress, changes in scope, or estimated completion Answer phone calls and emails professionally, offering clear and helpful information Invoicing & Collections Review completed service work for billing and submit invoices for Director approval Send invoices to customers and track outstanding balances Collaborate with the Service Director to support collections and resolve billing concerns Scheduling & Outreach Use Fullbay reports to identify and follow up on overdue or upcoming services (e.g., PMs, DOT inspections) Proactively contact customers to schedule maintenance and service appointments Build strong service relationships that encourage repeat business and customer trust Payroll & Internal Reporting Verify technician time entries and labor allocations for payroll processing Generate and submit daily payroll reports for review and approval Assist with additional operational and performance reporting as needed Qualifications 2+ years of experience in administrative, service writing, or customer service roles Excellent organizational skills and attention to detail Clear written and verbal communication abilities Comfortable with Microsoft Office and cloud-based workflow platforms Experience in a truck, heavy equipment, or automotive service environment Familiarity with Fullbay or similar service management software Understanding of parts ordering, labor billing, and general repair processes Working at Stronghold Stronghold Systems is a growing operation with deep roots in service, reliability, and relationships.
