Communications Manager Overview:
OLIN is seeking a Proposal Coordinator to join our Philadelphia headquarters team. As a Proposal Coordinator, you will bring your energy, flexibility, and eye for detail to a highly collaborative team dedicated to supporting our communications and business development goals. The ideal candidate has 1-3 years of experience in a professional administrative and/or coordinator position who will contribute skillfully to database management and data entry, proposal and qualifications coordination, and social media. We are looking for a self-starter with strong writing/editing skills who is an enthusiastic learner and collaborator. Under the direction and guidance of OLIN’s Communications Manager, you will work directly with OLIN’s Partners and Associates, the Communications Team, and personnel throughout the firm to support the content and coordination of winning proposals, campaigns, and social media. You will use your writing, time management, and organizational skills to maintain and build OLIN’s information and content libraries, including project descriptions, staff resumes, project metrics, and branded copy. You will also be an integral team member in the conceptualization and implementation of engaging communications campaigns to support and celebrate the OLIN brand.
Responsibilities:
Collaboration under the direction of the Communications Manager on proposals, particularly in the generation/curation of tailored qualification materials, coordination with external consultants, organizing content, maintaining quality control, internal communications, and workflow Regular upkeep of OLIN’s promotions and project information databases Maintaining file management structure and organization Tracking new project leads and requests for proposals and qualifications In collaboration with the Visual Communications team, scheduling, production, tracking, and posting of content for OLIN’s social media accounts: Instagram, LinkedIn, and Facebook Generation and regular upkeep of standard and targeted branded collateral developed within the Communications Department—including but not limited to proposals, project descriptions, resumes, and digital campaigns—with direction and input from the Communications Manager, Partners, and senior design personnel, and in collaboration with the
Visual Communications Team Qualifications:
A Bachelor’s degree and/or 2-3 years’ experience working in a fast-paced marketing, new business coordination, or administrative role Strong communication, organization, and customer service skills and enthusiasm Experience in collaborating with a team on complex, deadline-driven projects, maintaining a constant attention to detail Superior writing and editing skills, including ability to craft a story or technical narrative in a compelling manner and to edit collaboratively written content for a consistent voice Strong proficiency in Adobe InDesign and Acrobat (familiarity with the rest of Adobe’s Creative Suite a plus); proficiency in Google documents is a plus Strong proficiency with
Microsoft Office:
Word, Excel, PowerPoint Experience in managing social media accounts and curating an engaging, professional voice Experience working in an architecture, engineering, planning, or design office is a plus Experience in the design services procurement process responding to RFQs and RFPs is a plus

Note:
OLIN is a creative practice, and writing skills are of paramount importance to the Proposal Coordinator position which includes both original writing and regularly proofing/editing plus summarizing/paraphrasing others’ writing. Salary:
$50,000 – $60,000 / year, commensurate with experience. In-Office Work:
OLIN is a studio environment that directly benefits from all our staff coming together and collaborating in-person. We do offer the flexibility and technology to support remote work from home, during travel, etc. Currently, all employees are offered the flexibility to work from home on Fridays and are otherwise expected to work in the office Mondays through Thursdays, though this is subject to change. Occasionally it will be necessary to be in person in the office on a Friday.
