Role Details & Compensation:

Annual salary range: $70,000 – $82,000Unlimited PTO policy and a flexible work schedulePlease note: DynamiCare Health does not currently offer medical benefits. While we plan to make this a benefit soon, it is not available at this time.

While the majority of your work will be performed during normal business hours, this role may occasionally require availability outside typical business hours.

Although this is a director-level position, you will be actively engaged in the admissions process, including working one-on-one with members, managing the small admissions team and, in time, helping to grow this to a larger team, and creating streamlined processes for admissions.

As Director of Admissions, you are in charge of the front door to DynamiCare’s evidence-based digital care program. People come seeking help to quit or cut down on drugs, alcohol, and tobacco. However, motivation for recovery is competing with triggers and cravings to use addictive substances. In the traditional addiction treatment system, it’s so complicated to get help and it takes so long that many people who seek treatment give up before they can even start.

Your Mission:

Track and maximize the number of referrals (people seeking help) who are admitted to the DynamiCare program (i.e., actually get help).The OpportunityDynamiCare offers a highly effective digital coaching program that our patients love, with very high user satisfaction scores (look us up in the App/Play Stores). Our program has been shown to increase quit rates by 2-4x in 6 peer-reviewed studies. More healthcare payers are starting to cover our program. Our sales and marketing teams are working on bringing as many people to Admissions Dept.’s “front door” as possible. Once patients are enrolled, we have a highly talented Clinical and Coaching team that delivers services and manages the member experience. Our program offers financial incentives, so we can use rewards to help encourage members to enroll.

The ChallengeMembers’ motivation to address their addictions may be fleeting. They may not respond to texts, phone calls, or emails. They may set up an appointment and then not show up. There can be challenges verifying/billing their insurance. They may have trouble getting the app installed on their phone. They may lose interest in the time it takes to ship them their Welcome Kit. And we serve dozens of different health plans, treatment systems, and research studies, each of which have their own unique data collection requirements and admissions processes, so we need to make sure we are performing these tasks correctly.

The ResponsibilitiesManage our existing Admission Department staff and grow the department as our volume of referrals increases. Train them and oversee their work. Mentor them to help them grow and improve their skills.

Directly admit new members. This is a ‘player/coach’ role, and will involve connecting with incoming patients using Motivational Interviewing to help them follow-through on admissions.

Track the admissions funnel. We want to know where/when/why patients drop out of the process and test ideas to improve it. We need to collect different fields of information depending on the project. Help us move more data tracking from spreadsheets to full CRM.Improve conversion rate metrics. Experiment to see what works and increase the overall conversion rate on a monthly basis. Try different messaging approaches. Streamline the process. Work with our referring providers to get them to modify their referral process. Automate outreach.

Coordinate across departments. Work with the marketing team to get more people into the top of the funnel. Work with the coaching team to improve the handoff from enrollment to coaching. Work with tech & Ops teams to better automate & integrate workflows.

This role will report to the VP of Clinical Services and work closely with the VP of Product & Operations.

CharacteristicsWe are looking for a candidate who is:

Skilled as a manager: Demonstrate emotional intelligence in managing people, both managing up (to your boss), down (to direct reports), and across (to other departments). Strike the right balance between micro- and under-managing.

Detail-oriented:

Find the missing and incorrect data entries from enrollments and fix them. Remember which programs require insurance verification. Ensure that data tracked in the system is accurate and up-to-date. Make sure we document all of our workflows precisely.

Process-oriented:

Don’t just accept our current processes find ways to fix and improve them. Think of new ways to streamline and simplify our processes. Understand bottlenecks and bandwidth issues.

Tech-savvy:

You don’t need to be a Salesforce engineer, but you will need to manage and oversee CRM implementation. Must have strong quantitative spreadsheet skills and be a quick learner on new SaaS products.
