Full Job Description Position Summary:

The Manager of Arts Training is primarily responsible for ensuring the organizational effectiveness of Saturday and Summer Programming for the Arts Education Department. The Manager of Arts Training will be the primary administrative support for Arts Training Programs and responsible for NJPAC Arts Education Program Assistants. They will serve as liaison between Operations, Performances, and Creative practice to plan and implement program activities and events on and off-site and maintain all necessary program data. The Manager of Arts Training is the primary contact while on-site and serves as a liaison on behalf of the NJPAC Arts Education Department (AED) to schools, NJPAC families, and NJPAC faculty to ensure quality customer service for NJPAC’s Arts Education on and off-site Arts Training Programs. The position will work in direct support of the Sr. Director of Arts Education Operations.

Essential Duties and Responsibilities:

Program Operations Manage Arts Education Email Account:

Answer program inquiries Direct emails to the appropriate contact person

Letter of Assignments:

Create the LOAs for EAs and PAs each semester Track LOA hours

Payroll:

Manage the payroll approval process between TAs and EAs Ensure that everyone is recording their time and submitting their timecard in a timely manner Approve payroll every week by the deadline and submit to business operations

Expenses:

Submit and record expenses for supplies, equipment, materials, food, snacks, and special event supplies Collaborate with the Operations, Creative Practice and Performances team create a program schedule and room assignments that align with the Saturday and Summer Activities. Provide this same oversight each week to ensure that the space is ready for Saturday programming, masterclasses or any additional activities. Data Quality – ensure that Saturday program stats are accurate in Salesforce Other Administrative Duties Ensure materials requested by TAs are prepared in a timely manner (printing music, scripts, etc.) Ensure that supplies that were requested and ordered are unpacked and available during programming Keep track of absences, contact parents when artists are absent or tardy, and enforce the withdrawal policy Coordinate field trip permission slips – send them out and monitor responses Assign chaperones for field trips Activate escalation policy in the case of student emergency. Be aware, coordinate and oversee fire drills and lockdown procedures Communications Manage Artist, Family, and Staff Communications. Send any necessary emails, phone calls, and texts related to Saturday and the Summer Arts Training Program via OneCall. In collaboration with Operations, Performances, and Creative Practice, schedule regular communications: Welcome Letter, Weekly Announcements, Ticket Offers, Field Trip Logistics, and Permission Slips. Ensure that all newsletters are sent to the Manager of Sales and Outreach in a timely manner. All public-facing documents must be approved by Marketing. Create & Manage the staff chat for Saturdays that allows the team to communicate in real-time On-Site Program Managemen t (•included but not limited to sites outside of NJPAC campus occurring on Saturdays and during the Summer, as well as special events) Greet artists & their families while answering questions from caregivers, staff, faculty and young artists Ensure that flyers or other information are printed and distributed on Saturdays Manage Google Classroom Setup Create Google Classrooms for each program Invite TAs and EAs to the GC Ensure that EAs are inviting artists and managing posts on GC Create & Manage On-Site Arts Training Support Staff Work Schedule In collaboration with Performances, Operations and Creative Practice team – manage or support any special events occurring on-site on Saturdays or Summer. Ensure all appropriate parties have been communicated with.

Qualifications and Special Requirements:

At least three (3) years of administrative experience; previous work experience in the arts and/or education fields a plus Investigative mindset and creative thinker to solve problems and implement solutions Computer proficiency, especially in Google Suite Ability to learn and manage digital platforms and tools Experience with Salesforce preferred Strong interpersonal skills and ability to work and communicate effectively with colleagues and external partners Detail-oriented, organized, and efficient Ability to work flexible hours, evenings, and weekends as needed Multilingual is a plus Bachelor’s degree in Education, Arts, or Business field preferred, or equivalent experience
