Accounts Payable Manager Job Summary:
The Accounts Payable Manager (AP Manager) oversees the Accounts Payable team; directs the processing of invoices and payments; and manages expense accounts and budget reports. The AP Manager anticipates payments that must be approved in advance and organizes that information for further approval.
Essential Duties and Responsibilities :
Oversees the assembly and approval of invoices Places appropriate and approved invoices, associated with correct account for financial reporting purposes and correct period, in the computer system for payment Determines, on a weekly basis, the invoices due to be paid Reviews checks, wires, ACHs on a weekly basis for approved invoices, and matches the check stub or confirmation to the invoices for filing Uploads positive pay report to the bank Processes outbound checks Reviews all freight invoices for accuracy before payment, and disputes those that need correction Picks up and drops off at Post Office daily Reconciles payable spread sheet created by the China office Checks expense reports for compliance with expense policies Orders office and warehouse supplies as needed for the Adairsville facility Tracks freight and duties and associates those expenses with the proper container Balances and confirms purchases on the P & L with the purchasing department’s records Creates Purchase Orders for all non-product items Processes warehouse transfers Provides feedback to all departments on error and process improvement Processes “buy” side of all product-related invoices (product, customs, freight, additional charges) including Direct Import, using charge assignments Reconciles U.S. Customs invoices for ACH payment Processes 1099s for all required vendors and independent contractors Handles AP side of external audits Contacts vendors for minor repairs as needed Keeps “freight and duties” spread sheet up-to-date by month Takes on other responsibilities as required by the
CEO and CFO Job Requirements:
Excellent verbal and written communication skills Excellent computer skills (Microsoft NAV) A thorough understanding of accounts payable functions Excellent supervisory and analytical skills Excellent organizational skills Excellent attention to detail
Education and Experience:
Bachelor’s degree in Accounting or Business Administration, with one year of experience in an accounting office OR three or four years of accounting experience with at least two years in a managerial or supervisory capacity
