We are a small, fast-paced team where every member plays a vital role in our success. We are seeking a proactive, detail-oriented, and tech-savvy professional to oversee financial operations, office management, and billing processes. This position is in-house three days a week (9 AM – 6 PM), with the potential to grow into a full-time role based on performance and business needs. Position Overview The ideal candidate is highly organized, thrives in a small-team environment, and understands the fast-paced nature of the design industry. This role requires strong bookkeeping, billing, and office operations expertise, particularly within an interior design or creative firm. As a key member of our team, this individual must be able to follow structured processes, meet deadlines, and work independently while ensuring the smooth financial and operational flow of the business. Key Responsibilities Bookkeeping, interfacing with the company’s Accounting system (Accounting Design Manager (DM)). The primary focus is sending billing out and tracking when payments are received. Utilize Manage Design Manager software to track financials, invoices, and expenses accurately and work with DM accounting. Interface with DM Accounting and send out client invoicing, ensuring accuracy and timely follow-up on outstanding balances. Print receipts for credit card statements and file monthly Create Client hourly invoices via DM and Harvest Office Management & Administrative Support Oversee day-to-day operations of the design studio, ensuring a smooth and efficient work environment. Manage office supplies, vendor relations, and office maintenance to support business operations. Act as the primary point of contact for IT troubleshooting, working with external support teams when needed. Assist in organizing client procurement and coordinating vendor payments. Work closely with the owner and design team to ensure deadlines are met and workflows remain efficient. Clean up and vacuum when needed. Take trash out at the end of the day. Client & Team Collaboration Serve as the point person for client billing, ensuring professional and timely communication. Interface regularly with designers, clients, and vendors to keep projects financially on track. Take initiative in problem-solving and maintain a positive, solutions-oriented attitude within the team. Be an engaged member of our small, collaborative team, recognizing that success is shared across the company. Qualifications & Skills Experience with QuickBooks (preferred) or similar bookkeeping software. Proficiency with Design Manager is a plus. 5 years of bookkeeping or office management experience.. Strong organizational skills, attention to detail, and ability to meet deadlines. Ability to follow structured processes while also working independently and managing time effectively. Experience managing client invoicing and financial reporting. Professional and clear written and verbal communication skills. Strong problem-solving skills and the ability to troubleshoot issues proactively. A four-year degree in Accounting, Business, or related field is a plus but not required if experience is strong.
