Job Description

Accounts Receivable Coordinator Spencer’s Contracting LLC Prairieville, LA 70769 Our client, a well-established commercial building remodel and repair construction company in Prairieville, LA, is seeking a detail-oriented and self-motivated Accounts Receivable Coordinator to join their team. This full-time role focuses on managing accounts receivable and supporting the accounting and project administration processes, while also providing general office assistance and vendor support. Key Responsibilities Accounts Receivable:

Prepare and send customer invoices using QuickBooks. Prepare and send applications for payment for General Construction Projects. Enter invoices into client portals and submit necessary client paperwork. Monitor accounts and follow up on outstanding invoices via phone and email. Generate and distribute monthly customer statements. Answer client questions related to accounts receivable Maintain accurate records of receipts and reconcile incoming payments. Track and update pricing in item lists to ensure invoice accuracy.

Administrative Support:

Prepare purchase orders and input new vendor information into accounting software. Draft and send subcontractor agreements through DocuSign and electronically file these where they are easily retrievable Assist with gathering and organizing documentation for contracts, insurance certificates, and W-9s, lien waivers Serve as a liaison between technicians, customers, and project managers by fielding phone calls, emails, and text messages. Front Office & General Support (Back Up): Serve as a backup to the Office Admin Assistant who provides multi-line phone support, greets visitors, and performs various other accounting and office support duties. Other accounting and administrative duties as assigned Qualifications & Skills 2+ years of experience in accounts receivable, office administration, or light bookkeeping Working knowledge of QuickBooks or other accounting software strongly preferred Proficiency with Microsoft Excel, Word, and the ability to quickly learn new systems Strong written and verbal communication skills Ability to manage multiple tasks with a high level of accuracy and attention to detail Experience handling vendor onboarding and contract paperwork a plus Professional demeanor with a customer-first mindset Must pass a background check and drug screen Schedule Monday – Friday | 8:00 AM – 4:30 PM | 40 hours/week with a 30-minute lunch break Benefits Weekly pay Paid Time Off & Paid Holidays Health Insurance with employer contribution IRA with employer match
