Job Description

Accounts Receivable Specialist 4.0 4.0 out of 5 stars Covington, LA 70433 The Accounts Receivable Specialist manages the school’s accounts receivable operations, including maintaining tuition accounts, processing payments and deposits, posting charges, and overseeing delinquent accounts in the FACTS Tuition Management System. This role serves as the primary contact for families regarding financial accounts, financial aid, and scholarships, while collaborating with various departments to reconcile fees, confirm discounts, and support payroll processing. Additionally, the position assists with audits, special projects, and represents the Business Office at school events, ensuring accurate records and exceptional service to families and staff.

Key Responsibilities:

Finalize and maintain customer payment plans in FACTS Tuition Management System. Maintain all Accounts Receivable records and process incoming deposits. Receive, respond to, and manage phone calls, emails, and in-person inquiries from families. Manually post all applicable charges in FACTS Tuition, including Discovery Center, Athletics, Extended Care, Bus Use, and Class Fees. Monitor and manage delinquent accounts, including handling returned payments and delinquency correspondence for payment plans, incidental charges, and pre-pay accounts. Coordinate student accident claims and insurance reporting. Serve as the primary contact for financial aid communications and assist families with documentation requirements. Process student withdrawals and perform applicable financial adjustments. Collaborate with IT for additional billing needs. Represent the Business Office at Open House and other school events. Provide the HR Director with tutoring totals for faculty pay processing. Process refund requests on customer accounts as needed. Maintain and manage all manual discounts (Pastor, C.N.O.D., Early Bird, Staff), and collaborate with the HR Director and Business Director to confirm staff discounts. Manage documentation and communications for external scholarships and complete enrollment verifications as required by programs (Child Care Assistance Program, ACE, Arete Scholars, Folds of Honor, Seal Foundation). Review and address bounced payments. Assist families with the setup of the NCS Family App and accessing their financial and/or financial aid portals. Collaborate with the Distinctive Academic Programs Director to reconcile and post Discovery Center charges. Create and maintain Distinctive Academic Programs consent forms. Review and reconcile Extended Care and Cafeteria pre-pay accounts, and work directly with the Cafeteria Chef to resolve discrepancies. Coordinate with athletic coaches to bill athletic team fees and confirm enrollment statuses. Support the Director of Business with special projects as assigned. Assist with documentation requests for internal and external audits. Collaborate with Bus Drivers to review Bus Route Rosters and Rider Attendance Logs and bill families accordingly. Review financial standing for record release requests. Maintain the Enrollment spreadsheet and track payment plan finalization deadlines. Maintain the Aftercare spreadsheet for the Aftercare Director.

Qualifications:

High School Diploma required. Strong understanding of financial account management, customer service, and administrative support functions. Ability to work and communicate effectively with administration, faculty, and members of the Northlake Christian School community. Ability to maintain and uphold the school’s policies and procedures. Excellent written and verbal communication skills. Strong organizational skills and the ability to manage multiple priorities in a fast-paced, collaborative environment. High level of accuracy and attention to detail. Experience working with Excel and/or Google Sheets required. Ability to maintain confidentiality and handle sensitive conversations with families. Demonstrated commitment to the Christian mission and values of Northlake Christian School.

Preferred Skills:

Bachelor’s degree in Business, Accounting, or a related field, or equivalent relevant experience. Proficiency in FACTS Tuition Management System or similar financial/accounting software.
