Job Functions:
The Accounts Receivable Coordinator is responsible for managing the organization’s accounts receivable processes, ensuring accurate invoicing, timely collection of payments, and proper recording of revenue. This role involves maintaining customer accounts, resolving payment discrepancies, and collaborating with internal and external stakeholders to support efficient financial operations. This position will also be responsible for banking duties, petty cash management, PSERS reconciliation, and the application and filing for the National School Lunch Program.
Essential Functions:
Generate and distribute customer invoices in a timely and accurate manner. Ensure compliance with OSB policies and customer agreements regarding billing. Monitor and reconcile accounts receivable balances regularly. Receive and process checks; prepare bank deposits (requires regular visits to the bank). Ensure timely bank deposits; reconcile slips and maintain records. Process credit card payments. Notify the Development Office of donations received. Maintain Petty Cash (requires regular visits to the bank). Assist Food Services and Student Information Managers with the National School Lunch Program application and filing. Reconcile PSERS (Public School Employees’ Retirement System) accounts and work closely with HR to resolve PSERS-related issues. Assist with other Business Office duties as needed.
Minimum Education and Experience Qualifications:
Education:
Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
Experience:
At least 1 year of progressive accounts receivable experience. Experience in nonprofit, education, or public accounting is strongly preferred. Knowledge of the National School Lunch Program strongly preferred. Knowledge of accounts receivable processes and accounting principles. Proficiency with accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Office Suite, especially Excel. Familiarity with OMB compliance guidelines. Effective communication and collaboration skills. Strong attention to detail and organizational skills. Ability to prioritize and meet deadlines. Demonstrated sensitivity to maintaining confidential information.
Physical Requirements & Work Environment :
Lifting:
must be able to lift 50-lbs minimum. Participate in 2 person lifts.
Working Environment :
Employees are subject to accidents and/or injuries, which may be incurred during the performance of the essential functions of the position. Work is primarily indoors but some outdoor activities may be required.
