Job Description

Director of Finance Bailey-Matthews National Shell Museum & Aquarium Sanibel, FL 33957 Opportunity The Bailey-Matthews National Shell Museum & Aquarium seeks a Director of Finance to oversee the financial operations, financial planning, compliance, reporting, and HR logistics for the Museum. This is a full-time position with benefits including health insurance, toll reimbursement, and reciprocal admission to other museums. The position reports to the Executive Director. Responsibilities Include

  • Prepare financial statements and reports
  • Working with the Executive Director and Finance Committee of the Board of Trustees, prepare and manage annual operating budgets, capital budgets, and specific project budgets as needed
  • Maintain the Museum’s accounting
  • Manage invoices, payments, credit card accounts, and daily cash receipts
  • Monitor the Museum’s bank accounts and investments, and maintain relationships with banks and investment advisors
  • Provide data for annual audits and maintain relationship with accounting firm to complete annual audits and tax returns
  • Manage internal controls
  • Provide financial data as needed for grant applications and reports
  • Review and manage vendor contracts and select grant agreements
  • Manage insurance coverages and maintain relationships with insurance brokers and carriers
  • With the Executive Director, serve as staff contact for the Finance Committee, and the Board of Trustees on financial matters
  • Work with Development staff and the Executive Director on procedures for management, accounting, and acknowledgment of incoming gifts, grants, and memberships
  • Provide guidance to staff on financial operations and procedures
  • Maintain relevant local and State of Florida licenses and permits and ensure compliance with regulations
  • Manage payroll
  • Manage HR logistics including administration of benefits, 403b retirement savings plan, new employee onboarding, and interface with the Museum’s outsourced Professional Employer Organization (TriNet)
  • Working with the Director of Retail, manage processes for Museum Store inventory Qualifications
  • Bachelor’s degree in accounting, business, or a related field. CPA preferred.
  • Minimum 3-5 years in a financial/management position, preferably with some experience in non-profit and/or retail accounting
  • Experience in Intuit QuickBooks and generating reports and statements. Preference for experience with CRM and POS systems.
  • Working knowledge of GAAP, audits, and other regulatory requirements in the financial field
  • Excellent interpersonal skills and comfort working with a Boad of Trustees and interacting with donors and volunteers, in addition to visitors and staff
  • A demonstrated ability to maintain confidentiality and discipline in procedures While not a requirement for consideration for this position, candidates with strong IT experience or ability are encouraged to make that known when applying.

About the Museum The Bailey-Matthews National Shell Museum & Aquarium is a natural history museum and aquarium with a primary focus on shells, mollusks, marine life, and conservation education. It is a non-profit, educational organization that is accredited by both the American Alliance of Museums and the Association of Zoos and Aquariums. The Museum’s permanent exhibits include the Great Hall of Shells and the Living Gallery of Aquariums which displays hundreds of animals including octopuses, conchs, Giant Clam, California Sea Hare, fish, corals, and more. Temporary exhibitions, publications, and educational offerings for all ages provide a dynamic year-round program. In a typical year the Museum welcomes about 60,000 visitors with tens of thousands more served by offsite educational and outreach programs.
