Full Job Description Position Summary:
The Central Supply Coordinator / Medical Records Clerk is a dual-role position responsible for managing inventory and distribution of medical supplies and equipment, while also maintaining accurate and secure medical records in compliance with federal, state, and facility regulations. This individual plays a key support role in ensuring optimal patient care and operational efficiency.
Essential Duties & Responsibilities:
Central Supply Coordinator Functions:
Order, receive, and stock medical and office supplies for the facility. Maintain accurate inventory levels and reorder supplies in a timely manner. Monitor usage patterns and suggest cost-saving alternatives where appropriate. Distribute supplies to nursing stations and other departments as needed. Maintain clean, organized, and properly labeled supply rooms. Track and manage medical equipment maintenance schedules. Work with vendors to resolve supply issues, returns, and backorders. Assist with budget preparation related to supply costs.
Medical Records Functions:
Maintain, file, and safeguard residents’ medical records in a secure and confidential manner. Ensure medical records are complete, up-to-date, and in compliance with HIPAA, state, and federal guidelines. Process admission, transfer, and discharge documentation. Respond to requests for medical records from authorized parties (e.g., physicians, legal, regulatory agencies). Coordinate medical record audits and assist with survey preparedness. Input and update data in electronic health record (EHR) systems. Collaborate with clinical staff to ensure timely documentation.
Qualifications:
High school diploma or equivalent required; associate’s degree preferred. 1-2 years experience in a long-term care facility or healthcare setting preferred. Knowledge of supply chain practices and medical terminology. Experience with EHR systems (PointClickCare or similar) a plus. Strong attention to detail, organization, and time management skills. Ability to maintain confidentiality and work independently. Excellent communication and interpersonal skills.
Physical Requirements:
Ability to lift up to 30 pounds. Frequent walking, bending, and standing. Use of standard office equipment and software.
