Full Job Description Job Summary:
We are seeking a friendly and organized Medical Receptionist to join our healthcare team. The Medical Receptionist will be the first point of contact for patients visiting our clinic, providing excellent customer service while efficiently managing administrative tasks. The ideal candidate will possess strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities:
Patient Interaction:
Greet patients warmly upon arrival and ensure a positive experience from check-in to check-out. Verify patient information, insurance coverage, and obtain necessary consent forms. Schedule appointments, follow-up visits, and procedures using electronic scheduling systems. Answer phone calls promptly and respond to inquiries or direct calls to appropriate staff members. Assist patients with completing registration forms and medical history questionnaires.
Administrative Support:
Maintain patient records accurately and confidentially, including updating demographic information and medical history. Process patient payments, and billing inquiries in accordance with clinic policies. Coordinate referrals to specialist providers and obtain necessary authorizations or pre-certifications. Manage incoming and outgoing faxes, and electronic correspondence. Maintain cleanliness and organization of the reception area and waiting room.
Team Collaboration:
Communicate effectively with healthcare providers, physical therapists, and chiropractic assistants to ensure smooth patient flow and coordination of care. Collaborate with other administrative staff members to address scheduling conflicts, patient concerns, or other issues as they arise. Participate in staff meetings, trainings, and quality improvement initiatives. Support colleagues during busy periods or cover for absences as needed.
Qualifications:
High school diploma or equivalent; additional education or training in healthcare administration is preferred. Previous experience as a medical receptionist or in a similar customer service role is desirable. Proficiency in computer skills, and Microsoft Office Suite. Excellent interpersonal skills with the ability to communicate effectively and empathetically with patients from diverse backgrounds. Strong organizational skills with attention to detail and accuracy. Ability to prioritize tasks, manage time effectively, and work independently as well as part of a team. Knowledge of medical terminology, insurance billing processes, and HIPAA regulations is a plus.
Physical Requirements:
Ability to stand, sit, and move around the office for extended periods. Manual dexterity and visual acuity for operating office equipment and using computer systems.
