Office Manager Job Summary:
This individual is responsible for answering all incoming calls via the office ACD system, scheduling all patient appointments in a professional and courteous manner and assisting with managing the provider templates as necessary to maximize efficiency.
Education and Experience:
1. High school diploma or equivalent 2. One year minimum experience in a call center or medical setting involving inbound calls, scheduling, and patient care. 3. One year minimum experience in a fast-paced customer service setting. 4. Knowledge of medical terminology.
Essential Skills and Abilities:
1. Excellent customer service skills. 2. Strong phone and verbal communication skills along with active listening skills 3. Ability to effectively triage calls from patients to ensure appropriate scheduling 4. Ability to work independently, as well as be part of the team, including accomplishing multiple tasks in an environment with interruptions. 5. Empathetic personality, giving attention to patients’ needs and concerns. 6. Strong organizational skills with attention to detail. 7. Respectful treatment of patients and co-workers 8. Ability to maintain confidentiality and thorough knowledge of HIPAA policies and procedures. 9. Basic knowledge of computer applications, such as Microsoft Office Suite, EHR and related information systems.
RESPONSIBILITIES
1. Answers all incoming calls in a professional and timely manner, using the standard JCEC greeting. 2. Manages phone calls and triages/manages calls from patients/doctors’ offices/pharmacies/insurance companies/ and other entities. 3. Schedules all appointments with the appropriate provider to ensure top quality care to all patients. 4. Addresses appointment cancellations/reschedules/confirmations/no shows (via telephone, email, portal, electronic fax, and patient communication system.) 5. Takes ownership of and monitors provider’s schedules to ensure maximum efficiency. 6. Aides in the patient flow process by acting as a liaison between referring physician offices and JCEC and patients. 7. Uses pre-defined scheduling protocols and takes the proper steps to ensure appointments are scheduled within the requested timeframe and with appropriate provider. 8. Collaborates closely with clinical staff to assess the urgency of appointments and facilitates communication through task management within the practice management system. 9. Enters key demographic and insurance information into patient’s chart with completeness and accuracy. 10. Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice. 11. Maintains detailed knowledge of practice management and other computer software as it relates to job functions. 12. Assists other front office staff as needed. 13. Performs all other duties as assigned.
