About the Role The Clinical Administrator supports the day-to-day operations of our Intensive Outpatient (IOP) and Partial Hospitalization (PHP) programs by serving as a key administrative and communication resource. Primary responsibilities include providing administrative support for the clinical and admissions teams, such as scheduling and coordinating appointments, preparing documents, technical support during sessions, and data entry. This role will also include answering inbound phone calls from prospective clients and assisting with client admissions by gathering key client information (name, insurance information, etc.). The ideal candidate is detail-oriented, adaptable, and comfortable working in a fast-paced setting.

Key Responsibilities Provide Administrative Support:

Provide administrative support to the admissions and clinical teams, including coordinating appointments, taking client attendance, and being on standby to help clinicians during any situations requiring additional staff. Assist with other administrative tasks as assigned. Answer Calls from

Clients and Referrers:

Respond to inquiries from clients, families, and providers with empathy and professionalism, guiding them through the admissions process.

Collect and Manage Documentation:

Ensure all clinical, insurance, and consent forms are completed, accurate, and uploaded to the EHR system.

Collaborate Across Departments:

Work closely with clinical, operational, and billing teams to ensure seamless transitions from inquiry to enrollment.

Ensure Compliance and Confidentiality:

Adhere to HIPAA and Overstory’s internal policies to protect patient information and uphold ethical standards. Qualifications Location:
Remote Schedule:

Part-time; flexible options are available ranging from 12-20 hours per week (If 12 hours only) Monday, Wednesday, Thursday, 4:30 PM – 8:30 PM (If 20 hours) Tuesday, Friday, 1:30 PM – 5:30

PM ET Education:

High school diploma or equivalent.

Experience:

Prior experience working in a behavioral health or medical office setting preferred but not required.

Skills:

Comfort with phone calls and client outreach, strong customer service and communication skills with the ability to multitask and manage a fast-paced environment.

Technology:

Prior experience in CRM software preferred but not required. Proficiency in Google applications, with a willingness to learn job-specific software including the

EHR Preferred:

Experience working with medical professionals and confidence interacting with a diverse patient population.
