Position Overview:
This role is central to our operations. You’ll manage client intake and scheduling, learn physical and occupational therapy billing, assist with marketing efforts, and support the daily flow of our high-end mobile practice. The right candidate will “wear many hats” and thrive in a collaborative, mission-driven environment. This position is designed to grow: If you bring billing experience, you may move quickly into full-time hours If you’re newer to healthcare, we’ll train you and gradually increase your hours as you gain confidence and ownership
Key Responsibilities:
Serve as the point of contact for client calls, emails, and scheduling needs Coordinate new client intake and onboarding Learn and assist with PT/OT billing, insurance verification, claims, and compliance (Medicare, etc.) Track daily tasks and coordinate clinician schedules Support marketing projects including emails, flyers, outreach, and social media content Use systems like Google Workspace, QuickBooks, and our EMR (Prompt) Communicate with families, referral sources, and internal team members with professionalism and empathy
Required Qualifications:
Excellent organization and attention to detail Strong written and verbal communication Comfortable using technology and learning new platforms Proactive mindset and ability to problem-solve independently Previous admin or client-facing experience preferred Nice to
Have:
Prior experience with billing, insurance, or healthcare administration Familiarity with Google Workspace, Canva, QuickBooks, or Prompt EMR Marketing or content creation skills Why Join Propel?
