This individual will be the first and last point of contact for our clients and patients, ensuring a smooth, professional, and welcoming experience from check-in to check-out. This role includes administrative, scheduling, customer service, and light facility management duties. You’ll support our physical therapy and personal training services, handle intake for a variety of wellness programs, assist with client education and sales, and manage facility closing procedures.
Key Responsibilities:
Greet and check in/out patients and clients for physical therapy, personal training, and other services Schedule appointments for physical therapy and personal training, coordinating efficiently with service providers Collect and process payments; accurately manage accounts and patient charts Explain insurance benefits and coverage to patients Respond to phone calls, emails, and faxes; provide professional and timely communication Speak knowledgeably about BARWIS programs and services in person, over the phone, and via email Support gym operations by maintaining cleanliness in common areas and equipment Complete end-of-day facility closing duties, including locking up and securing the building Provide tours and assist clients with membership options or service purchases Maintain organization and accuracy while multitasking in a fast-paced environment

Strong verbal and written communication skills with the ability to be kind, clear, and firm Ability to work independently and juggle multiple responsibilities with grace Comfortable using computers, scheduling software, and office technology Motivated, energetic, and passionate about health, fitness, and community Team player who enjoys interacting with clients and helping people feel welcome and cared for Must be able to lift up to 50 lbs as part of light cleaning, equipment movement, or assisting with client needs
Preferred Qualifications:
1+ year of experience in a medical or fitness front desk, scheduling, or customer service role Understanding of health insurance and medical billing processes Familiarity with scheduling software (e.g. Jane and PromptEMR) Experience with
