Job Description:
The Human Resources Assistant works within a team to ensure exceptional service in processing employment-related transactions for approximately 4,000 faculty, staff, and affiliates of the University at Albany. The HR Assistant supports activities that facilitate timely and accurate communication of employment matters, contributing to a work environment that promotes equity, inclusion, and a sense of belonging within the UAlbany community.
Primary Responsibilities:
HR Transaction Processing Accurately and efficiently process position and employment-related transactions in SUNY HR for all employees, ensuring data integrity and compliance. Verify employment requests for completeness and accuracy, following up with departments to request missing or insufficient information and ensuring thorough documentation for accurate processing. Prioritize transactions and manage entry deadlines to ensure timely and accurate processing for each pay period. Employment Requests & Auditing Review, audit, and approve employment requests, including but not limited to hiring, renewals, promotions, salary adjustments, additional compensation, appointment changes and extensions, leaves, and terminations, working closely with departments to ensure completeness. Error Reporting & Resolution Analyze weekly HR transaction reports and collaborate with team members and partners to resolve discrepancies, ensure consistent data entry, and improve overall accuracy and timeliness of processing. Communication & Coordination Maintain a high level of communication with departments to ensure accuracy, timely follow-up, and organized processing of transactions. Clearly communicate personnel action details to Payroll, Benefits, Budget, and departmental teams to support accurate and timely processing. Foster strong partnerships across the University to promote shared responsibility and a commitment to employee support. Compliance & Policy Adherence Maintain knowledge of applicable laws, SUNY policies, and bargaining agreements, ensuring employment actions align with relevant regulations. Responsible for learning and enhancing knowledge regarding various rules and conditions impacting employment. Process Improvement & Project Participation Identify opportunities for workflow enhancements and contribute to committees and projects that advance HR and University initiatives. Other reasonable duties as assigned.

University Job Requirements:
Ability to work with and protect confidential data. Ability to work effectively and efficiently within strict deadlines in a fast-paced professional environment. The ability to think critically, interpret general guidelines, and apply them to specific circumstances. The ability to understand general HR policies and procedures as they relate to the other HR units including Payroll, Benefits, Time Records and Employee Relations, and communicate those policies and procedures to departments and employees. The ability to work collaboratively and proactively with internal and external unit managers for successful outcomes. The ability to utilize Business Intelligence solutions, databases and Excel to write/run data queries, manipulate results, and monitor/audit personnel activity. Ability to provide excellent customer service to constituents. Ability to occasionally work extended hours as necessitated during peak volume periods, typically near the start of the fall academic semester. Job Requirements:
Minimum Qualifications:
Bachelor’s degree from a college or University accredited by the US Department of Education or internationally recognized accrediting organization. Minimum of one-year previous work experience in service-oriented field Experience working with Microsoft Excel or related program Excellent attention to detail with concern for accuracy Excellent communication skills in person and in writing Applicants must demonstrate an ability to develop inclusive and equitable relationships within our diverse campus community Applicants must demonstrate an ability to support diversity, equity, access, inclusion, and belonging relative to their role
Preferred Qualifications:
Bachelor’s degree in business, HR, or related field from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.
