Job Description

Administrative Support Specialist 3.1 3.1 out of 5 stars Westbury, NY 11590 The Administrative Support Staff supports the heart of our corporate operations and monitors service-related issues (escalating as appropriate), high volumes of calls and emails, scheduling responsibilities, and other administrative processes. The schedule for this opening VARIES and can include overnight shifts AND afternoon shifts.

Job Details:

8 hour shifts / 40 hours per week, a must Open availability Sunday – Saturday until a set weekly schedule is made across the team

Overnights:

10:00pm-6:30am, a must

Afternoons:

2:00pm-10:30pm, a must Starting pay: $25.00 / hour Responsibilities include: 1.

Corporate-wide Communications:

Serve as a central point for all shift communications across multiple challenges (phone, group email, individual email and fax), all of which must be monitored continuously. o

Phone Conversations:

Use a friendly, considerate, helpful professional tone (vs skeptical or frustrated). o

Inbound Calls:

Record (i) Name, (ii) Worksite (if one of our employees), (iii) Callback Number, and (iv) the Reason for the Call (Who, What, Where, Why, When, How). §

When Providing Information:

Accuracy:

Ensure it is accurate. If you are not sure, it is OK to follow up. o

Limit Disclosure:

Limit disclosure of information to those who have a need to know. o

Records:

Maintain shift report notes throughout the work hours to escalate any communications and issues that require attention. 2.

Scheduling:

Reviewing regional schedules for all openings and arranging coverage in accordance with client and management requirements o On Post; On Time. Ensure those required to check in / out with the Corporate Call Center are on-time at the assigned locations and that the time is properly recorded. 3.

Quality Control & Asset Protection:

Monitoring and Overnight:

Monitor cameras and company-vehicles for supervisory purposes. o

Problem Solve & Escalate:

Use Company resources to solve issues that arise. Escalate issues to the appropriate authority.

Required Skills:

Excellent written and verbal communication skills Time-management skills Ability to pay attention to detail Organizational skills Ability to multitask Basic understanding of frequently used computer software and programs, such as Microsoft Office Interpersonal skills Reliability and punctuality, a must

Required Qualifications:

HS Diploma or GED Bachelor’s Degree Post-Graduate Degree, preferred Consistent academic or job experience reflected in resume
