Duties Description The New York State Education Department’s (NYSED) Office of Cultural Education (OCE) is seeking a dedicated and enthusiastic applicant to serve as Coordinator of Volunteer Services within the New York State Museum (NYSM). Reporting directly to the Director of Education and Visitor Services, the successful candidate will lead the Museum’s volunteer programs, playing a vital role in building community engagement and supporting the museum’s mission. The Coordinator of Volunteer Services will be responsible for the management and oversight of all volunteer programs, facilitating opportunities for potential volunteers, and providing appropriate support to meet program needs and responsibilities. Other duties of this position include, but are not limited to, the following:

  • Develop, implement, and manage all aspects of the Museum’s volunteer program;
  • Recruit, screen, interview, and place volunteers in roles aligned with Museum needs;
  • Continuously review program offices’ volunteer requests and coordinate placements;
  • Design and lead orientation, training, and professional-development sessions; provide ongoing support, supervision, coaching, and recognition;
  • Maintain and operate the volunteer tracking system; keep records of hours, assignments, performance, NYSM daily/annual attendance, and school-group visits; generate reports as needed;
  • Coordinate all logistics including building access, ID badges, parking for volunteers;
  • Maintain and update front-desk reference materials for the NYSM lobby: covering the Office of Cultural Education, Empire State Plaza, and Concourse, to ensure volunteers always have the latest visitor information;
  • Organize volunteer appreciation activities and cultivate a positive, inclusive environment that drives retention;
  • Serve as the primary contact for volunteer inquiries; address issues and conflicts promptly and professionally;
  • Cultivate partnerships and represent the Museum at community events, fairs, and outreach activities;
  • Collaborate with staff and department heads to assess needs, create new roles, and align programs with strategic goals;
  • Prepare and update handbooks, policies, procedures, and safety guidelines; ensure compliance with museum standards and legal regulations;
  • Monitor, evaluate, and report on program effectiveness; collect and analyze participation data; recommend improvements; present findings to leadership and stakeholders; and
  • Provide volunteer coordination support to the New York State Library and Archives as needed.

CONDITIONS OF EMPLOYMENT

This will be a permanent, competitive appointment or a permanent, non-competitive appointment. For 55b/c appointment, candidates must possess the minimum qualifications, a current 55b/c eligibility letter and is subject to verification of applicant eligibility. Promotions and transfers may change appointees’ negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. If applicable, verification of degree will be required at the time of interview for all candidates. This position leads to a maximum salary of $85,138 based on annual performance advances. For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
