Real Estate Paralegal/Closing Processor O’Donnell Lee Marden Dubord, P.A. 325 Kennedy Memorial Drive, Waterville, ME 04901 O’Donnell Lee Marden Dubord, P.A. (OLMD) seeks a full-time Real Estate Paralegal/Closing Processor to work in the residential and commercial real estate section of the Firm. You will work in cooperation with three other real estate paralegals and other support staff. Interviews are expected to begin on or after July 14.
POSITION DUTIES
Regular duties for this role include, but are not limited to, the following:
- monitor incoming title order queue and promptly open digital files in our software platforms; and assign file to appropriate real estate processor
- handling intake phone calls and emails on new matters; answering questions; gathering information; quoting fees
- preparing drafts of purchase and sale agreements with disclosures, and other documents, and circulating for execution
- assisting real estate lawyer Tom McCowan with administrative matters, communications, and scheduling
- perform closing and settlement work for both residential and commercial real estate transactions and bank loans
- generation, assembly, and processing of title insurance forms and documents
- meet with parties to execute and notarize documents (but not conducting closings)
REQUIREMENTS AND EXPECTATIONS
- At least 2 years of experience in a real estate paralegal/processor/closing coordinator role.
- Must be, or become, a Notary Public.
- Detail-oriented, self-motivated, and organized.
- Excellent typing, technology, and time-management skills.
- Excellent spelling, writing (without AI!), proofreading, and verbal communication abilities.
- A positive attitude, sense of humor, patience, and customer service skills.
- This is an on-site role, not remote work, except in temporary circumstances like snowstorms, ambiguous illness, global pandemics, and waiting for the boiler guy to show up.
- Criminal background check and credit check with acceptable results.
- Reside within a 30 minute drive of the Firm.
- The Firm is a smoke-free workplace.
SALARY AND BENEFITS
Salary:
$20-28 per hour , depending on experience; anticipated 37.5 hours per week .
Cafeteria Plan/Health Insurance:
OLMD will contribute an additional amount equal to 9% of your salary in pre-tax dollars to a cafeteria plan affording you several benefits you can choose from, including two health insurance plans, vision insurance, Flexible Spending Account, or cash withdrawal.
Holidays:
13 paid State holidays, including Patriots’ Day and the Friday after Thanksgiving.
Vacation and Sick Leave:
New employees start with 10 days paid vacation and one additional day for each continuing year of employment. We have afforded paid sick leave with no specific allotments, but vacation and sick Leave are planned to change to a combined PTO (Paid Time Off) policy during 2025, which will also be adjusted to incorporate the impact of the Maine Paid Family and Medical Leave Benefits Program that takes effect January 1, 2026.
Retirement Plan:
Employees are eligible to enroll in our 401K retirement plan in the first January or July following one full year of employment, with employer match of up to 4% of your salary.
