Legal Assistant Confidential New York, NY 10022 • Hybrid work A boutique trusts and estates law firm in midtown Manhattan is seeking an experienced Legal Assistant to provide administrative support to several attorneys in a thriving law practice that provides domestic and international private client and private business advice for family offices, private businesses, and entrepreneurs. The Legal Assistant will support attorneys who work primarily in the areas of tax planning, significant transactions, trusts and estates, tax returns and audits, company formation, maintenance and compliance and philanthropy. Key Responsibilities Maintain calendars for attorneys which includes scheduling meetings and anticipating needs. Manage inflow and outflow of mail, visitors, and phone calls. Establish and maintain relationships with clients and attorneys that facilitate the highest level of client support. Prepare and proofread legal documents with potential to assume additional general paralegal responsibilities across practice areas. File, organize, scan, copy, distribute legal documents, and communicate with attorneys and clients in a timely manner. Keep hard copy client files up to date and organized. This includes original documents along with attorney notes, research, and correspondence. Enter time, prepare and process client invoices as well as expense reports and expense reconciliation for attorneys. Create and maintain client spreadsheets related to expenses and financial accounts. Arrange domestic travel for clients to/from NY office. Arrange domestic and international travel for attorneys. Answer phone calls, take notes/messages and redirect calls when appropriate. Facilitate the meeting of deadlines by keeping multiple agendas and providing timely reminders. Work collaboratively with other staff members on general office administration (e.g., maintaining office supplies and general upkeep of the office, handling conference room needs, coordinating with various service providers, covering the front desk when needed.) Qualifications 3+ years’ experience as a legal assistant at a law firm. Post high school coursework or certification relevant to this area, or equivalent experience. Familiarity with legal documents and terminology. Working knowledge of legal information systems; Proficiency in billing systems such as Juris, Juris Suite preferred. Ability to type with a speed of at least 50 wpm with high accuracy. High proficiency with Microsoft Office programs including Word, PowerPoint, Excel and Teams. Able to effectively prioritize, multi-task and meet deadlines. Team player with demonstrated ability to work with personnel and clients at all levels. Reliable with strong work ethic. Demonstrates commitment to delivering the highest level of client support and exceptional quality work at all times. Highly organized with strong attention to detail. Personable and professional demeanor. Superior written and oral communication skills.

$75,000.00 – $90,000.00 per year
